Something genuinely interesting happened recently in the accounting software world. On May 5, 2026, Xero announced the launch of Xero Coaches in the United States. And it’s a much bigger deal than it might sound at first.

To understand why, you need to understand the problem Xero has been trying to solve for years: how do you take market share away from QuickBooks Online in America when QuickBooks has a stranglehold on the US small business accounting market? This is Xero’s latest and most sophisticated answer to that question — and it’s worth paying close attention to.

What Is Xero Coaches?

The concept is elegantly simple. Xero Coaches are US-based product onboarding specialists who work one-on-one with new Xero subscribers during their first 90 days. They’re included free with every new US Xero subscription — no extra charge, no premium tier required.

What do they actually do? A Coach helps you connect your bank feeds, set up your invoicing and bill pay workflows, get your payroll running, and — crucially — turn Xero’s cash flow and analytics dashboards into something you can actually read and act on.

Sessions are virtual, booked calls with clear next steps at the end of each one.

The timing isn’t accidental. Xero also recently launched JAX — their AI financial superagent — and the Coaches program is designed to sit alongside it. The goal is combining powerful software with human expertise early in the subscription so customers stop guessing and start seeing their whole business clearly.

As Xero’s own blog put it: “Sometimes you just need a real person to help you connect the dots.” That’s exactly the gap Xero Coaches is designed to fill.

Why This Is Really About QuickBooks

Let’s be honest about what’s really going on here. QuickBooks Online dominates the US market — it’s estimated to hold somewhere between 62% and 80% of the US small business accounting software market depending on who you ask. That’s a staggering number. It’s not just market share either — it’s habit, familiarity, and the fact that most US accountants and bookkeepers have built their entire practice workflows around QuickBooks.

Xero has been chipping away at this for years. They offer a free migration tool that converts QuickBooks data to Xero, they’ve partnered with third-party migration services like Jet Convert, and they’ve run aggressive promotional pricing. And yet the needle has been slow to move.

The fundamental problem isn’t features or price. Xero and QuickBooks are remarkably similar in their core functionality — both handle invoicing, bank reconciliation, expense tracking and reporting extremely well.

The real barrier to switching is the fear of the unknown. Business owners worry about losing their data, getting confused by a new interface, or spending weeks re-learning how to do things they already know how to do.

Xero Coaches is a direct attack on exactly that fear. By putting a real human being in your corner for the first 90 days — specifically during that vulnerable window when you’re most likely to give up and go back to what you know — Xero is trying to dramatically increase the chance that switchers actually stick around.

The QuickBooks Desktop Factor

There’s another piece of context that makes the timing of Xero Coaches particularly smart. Intuit is phasing out QuickBooks Desktop — support for Desktop 2023 ends in May 2026, and Desktop 2024 is the last version that will ever be released. That means a large cohort of long-term QuickBooks Desktop users are being forced to move to the cloud whether they like it or not.

For many of these users, the question isn’t just “should I switch to QuickBooks Online?” — it’s “should I take this opportunity to evaluate everything?” Xero Coaches, combined with the free migration tool and aggressive pricing, is designed to catch exactly these users at the moment they’re most open to change.

It’s a well-timed play. Intuit is essentially doing Xero a favour by forcing its own desktop customers to reconsider their software choice right now.

What Does This Mean for Australian Bookkeepers?

You might be wondering why any of this matters if you’re studying bookkeeping in Australia, where Xero already dominates with over 60% market share and QuickBooks is very much the underdog. Fair point — but there are a few reasons this is worth following.

First, if Xero succeeds in the US, the whole company gets bigger and stronger. More investment, more R&D, better features across all markets including Australia. A Xero that’s growing aggressively globally is a Xero that keeps innovating. That’s good for everyone who uses or works with the platform.

Second, the Xero Coaches model itself is interesting from a career perspective. This is essentially a new category of job — product onboarding specialist for accounting software. As the big platforms invest more in customer success and guided onboarding, bookkeepers and accounting professionals who deeply understand Xero (or MYOB, or QuickBooks) have a real opportunity to position themselves as exactly this kind of expert. The value of deep software knowledge is only growing.

Third, it’s a reminder that the soft skills around explaining and teaching financial software matter enormously. Xero Coaches is currently only available in the US. There’s no announcement yet about an Australian rollout — though given Xero’s strong presence here, a similar program seems like a natural next step. Watch this space.

It dominates in the US, it’s strong in the UK and Canada, and Xero’s aggressive push to win over QuickBooks users means the two platforms will be in competition with each other for years to come.

The bookkeepers who can confidently say “I know both Xero and QuickBooks and I can help you migrate between them” are going to be increasingly valuable — both in Australia and internationally.
