I RECENTLY SPOKE WITH the owner of a hairdressing salon who’s been in business for over 18 years (at various different businesses). This woman has ALWAYS used a manual wages timesheet system.
Our team are exploring typical rosters and problems which occur in the payroll processing, and as such, we’re also exploring all the different ways that wages are managed.
The manual wage processing that this hairdressing salon owner uses is very similar to this timesheet tracking system from the late 1890’s and she seems to be quite efficient at it. When I explore the process she uses I can see why business owners would prefer not to spend the money, but if things got busy or tricky and staff numbers are high and hours varied, then a computerised system is definitely more “systemised”.
Computerised Time Sheet Software
I wrote recently about popular time-tracking apps for Xero (also QuickBooks Online) and how they help you manage the time that you spend on various work projects as a professional service provider (like website design, marketing and even bookkeeping) and in the next couple weeks we’re going to explore time sheet management software like Tsheets and Deputy. Not only are they good for scheduling your staff but they can help you keep track of when they sign on and sign off for work.
I was recently talking with someone who uses Deputy as an employee and they described the experience like signing in on a bundy clock! The particular person I spoke to didn’t enjoy the regimen of doing it but it makes perfect sense from the business owners perspective so they have a very tight record of time worked.

Microsoft Excel: helping to forecast returns and manage investment property finances
I WENT THROUGH SEVERAL different spreadsheets (which are incorporated into our Microsoft Excel & Property Investment online training courses) when I had to calculate borrowing capacity and expected return for an investment property in Newcastle recently. Microsoft Excel is a great tool for managing your investment property portfolio finances and to help students understand financial literacy we recently created some new training content for our Advanced Microsoft Excel training courses, which covers common calculations that investors go through when they look at potential debt or equity investments in new startup businesses.
Determine the NPV of a project
Net present value (NPV) is a core component of investment budgeting. It’s a comprehensive way to to calculate whether a proposed project (such as a home renovation) will add value to the investment or not.
An NPV formula involves many financial concepts in the one formula:
the time value of money,
the discount rate over the duration of the project, and so on.
Any NPV greater than $0 represents a value-added project, with $0 representing your break-even point. A negative dollar figure suggests the project won’t add value or deliver any return on investment. There are two ways to calculate NPV of an investment in Excel — by separating out the component cash flows and calculating each step individually, or by creating an NPV formula in Excel to do that for you. I can tell you from the Applied Finance degree I did with Kaplan that Excel makes it a LOT easier.
Determine the IRR of your investments
The Internal Rate of Return (IRR) is a metric used to measure the profitability of a potential investment. IRR is a discount rate that makes the net present value (NPV) of all cash flows from a particular project equal to zero. IRR calculations rely on the same formula components that NPV does. In general, the higher a project’s IRR, the more desirable it is to undertake. You can also use IRR to rank multiple prospective projects you may be considering for an investment property, assuming the costs are equal among each project. The one with the highest IRR would be considered the one that should be undertaken first. If this all sounds a little complicated you may never need to worry about it but rest assured the companies in your superannuation fund who work hard on making money every year will be using these regularly.
New Excel 2016 training course content for Lifelong learning
We’ve updated our Microsoft Excel course content to the latest version of Excel, but we also include all versions of Excel software in our training courses. When you enrol in Excel 2016, you’ll also get access to the content for Excel 2013, 2010, 2007 and even 2003 if you need it. Because we create our own course content, training workbooks, exercise files and videos, we can (and do) update them regularly. We’ve also just updated our Xero training courses to the latest version of the Xero software.
Google My Business, Google Site & Google Maps – ALL FREE
DURING A HOME RENOVATION project for an investment property I was involved with recently, I needed to find lots of different tradespeople in the Newcastle area — and quickly.
I also wanted to look up trade tips that would help me solve a few renovation issues, and it made me realise just how important Google Maps and local searches are.
This is in addition to local classifieds and online services like Gumtree and Airtasker.
Create a free website with Google Sites
A local painter and handyman named Mark helped me with many aspects of the Newcastle renovation project and we talked a lot about the ways he could increase his profile in the Newcastle area to grow his business.
I created him a simple website for free using Google G Suite’s Sites application, and also set up Mark’s Google My Business Account, so he would show up in local search listings and on Google Maps — all of which is free with a Google G Suite account. (A G Suite account costs as little as $5 per month, per user.)
By the way, I suggested that he shouldn’t take a photograph for his website after he’d just gotten a buzz cut, but he did it anyway! 😉
Google is a cheap and easy way to get online
Using the productivity tools contained in Google G Suite Course is a great way for businesses to get organised with great SPAM filtering email, calendars and scheduling, tasks and to do lists and much more, and using Google Sites enabled Mark to get online cheaply and easily. And because you’re using a Google product (Google Sites) to create your website, it’s a simple way to make sure you’ll be discovered in Google Maps and local Search results.
Although WordPress offers greater functionality, and is a more robust content management system, it also requires more technical skills to ensure your website is able to be discovered in Google Search and Maps results. It’s also a little trickier to integrate with Google G Suite and other productivity apps. (We offer training courses in WordPress for this reason.)

In case you weren’t aware, I was recently heavily involved in a renovation of an investment property in Newcastle (which I really enjoyed and has given us a whole lot of extra content from real world experiences with local tradies like electricians, plumbers, chippies, painters and more) but am now back on the tools (the internet and software tools, that is) and keen to continue improving every aspects of our courses for existing AND new students.

I’ve spoken with some fantastic people who’ve joined us in the accounting software space and they have some tremendous experience in the ERP (Enterprise resource planning) side of accounting — that is accounting software as used by mid size companies. From this, we’re going to share some great information, tips and experiences to help those businesses who either deal with larger companies as clients, or who are at the stage of ramping up their accounting as a mid size business.
Although the daily data entry is a frustration for many business owners and manager, particularly if you are quoting, ordering and invoicing regularly, the bank reconciliation is the most frustrating for bookkeepers, BAS agents and accountants because they need to make sense of EVERY transaction and make sure it is accounted for correctly. The thought that stuck in my head the most was “Wouldn’t it be great to design my own bank statement! A bank statement that I would like to see for my business each month” but that is a topic for another “business development and goal setting type blog”.
The important thing for bookkeeping students is that this bank statement includes most of the transactions that you’ll come across each month including interest, capital purchases, loans etc that you’ll probably need to check and make sure they’re coded correctly.
Xero and all cloud accounting programs make bank reconciliation easier because they enable you to import bank feeds directly from your bank. This saves a lot of the typing involved in data entry but you still have to get the codes right.

Critical Office Skills and Job Seeker Confidence with Microsoft Office Essentials
A HUGE PERCENTAGE of EzyLearn students complete an online course with us because they are looking for a new job. However, many people lack confidence because they are not competent using Microsoft Office software programs.
At EzyLearn, we have always included Beginners to Advanced-level training content for our software courses; we don’t want students wasting their time worrying about whether they should do Beginners, Intermediate or Advanced. That said, we’ve consistently had requests for a combination course.
One of the most powerful internet based applications that we use everyday is Dropbox. It’s powerful because it enables you to automatically backup any files you save into your Dropbox folder AND it enables you to access your files from any computer. When you delve deeper into Dropbox and start using it on your Smartphone you’ll also discover that every photo you take on your phone (and screen shot) can be automatically saved into your “Camera Uploads” folder within Dropbox so no matter how much phone storage space you have you’ll always have a copy of images in Dropbox.
I personally use Google Apps for emailing, contacts, calendar etc because many years ago when I made the switch it was free and Google’s email program (gmail) had the best SPAM filtering on the market so I was guaranteed to only receive the emails I wanted and not all the rubbish — before then I used Microsoft Outlook for many years. Case Study: Tradespeople Using Xero Cloud Accounting
Tradies across Australia are getting onto the cloud for their accounting and there’s a good reason for it — many busy people can use the system from remote locations to get their work done.
This means the estimator can use it to generate a quote at a site, the office administrator can convert quotes to orders and invoices and the remote contractor can sign in and do accounts receivable calls from their home office. This is good news! All major accounting programs now offer cloud access — MYOB, Xero and Intuit Quickbooks.
I wrote in the past about Rohan from Painters, Men in White; Ken the home theatre installer and Jason the kitchen appliance repairer. Today I’m happy to announce that we’ve released a case study in the Xero Daily Transactions course that relates to the building and construction industry — in particular a concreting business that quotes for the pouring of a 3 level apartment building. Sue, a contract bookkeeper from Yarra Junction helped me write this Case Study based on her experience in the building sector and in particular with concrete companies.

Use Microsoft Word to Create Xero Courses
Many students enquire about the Microsoft Excel courses because spreadsheets are complicated for people who don’t know how to use them. However, I never cease to be amazed at how many people confidently state, “I know how to use Word, that’s easy”.
Microsoft Word is used in so many aspects of a business yet too many people think that just because they can type they are good at Word. Things like:
are covered in our 203 to 205 courses (so they are considered beginners to intermediate Word skills) yet I am surprised at the number of people I meet who don’t truly understand how these work!
When we work with a new contractor, even as part of our National Bookkeeping Network, we ask new members to write up an education guide if a bookkeeping customer is looking for a certain task to be completed. We end up putting the bookkeeper through our Word course and they discover a whole new world of computer skills that enable them to do more office admin work for their employers or customers — particularly when it comes to long form documents like instruction guides, tenders and even eBooks which are becoming increasing used in online digital marketing.
Bookkeepers Can Be Great Web Designers!
As I’m sharing so many EzyLearn student stories, I’ll provide another example of a recent student, Helen from Bright in Victoria (check out where Bright is located in Google maps and you’ll see just how far away she is from the nearest capital city — again, the beauty of working from home using the internet!)
Helen is a Registered BAS Agent and has been for a long time. She performs all the bookkeeping tasks that many of our students aim to offer by being a BAS agent, but she is also interested in being a little more visually creative — at least part of the time — so she completed our WordPress Course and as a result we’ve introduced her to some clients. Since then she’s actually been paid for creating and editing websites! One website she created and continues to edit as required is for ANOTHER student, Sonia who completed our MYOB course years ago to help her with her husband’s business!
Sonia now spends a lot of her time teaching mums (AND dad’s) about baby massage and how they can use infant massage to build a bond with their new baby and help them relax when they are uncomfortable. With a nursing degree and a huge amount of experience with children, Sonia is able to help parents and babies alike create a special bond through touch, and ease new parents into the sometimes stressful experience of welcoming a new baby into their family.
