A Great Trick for Getting Rid of Nerves on a Job Interview

Who’s interviewing whom?

The truth is that you’re interviewing the company as much as they are interviewing you. When you look at it this way, the job interview suddenly becomes less daunting.

DO YOU KNOW THERE is no reason to find a job interview nerve wracking, even though so many people do. It’s simple enough to understand why. People put a lot of pressure on themselves to give the best impression and come out as the successful candidate. And look, these things are important, no argument there, but together the pressure to give a good impression AND win the job itself, can conspire to turn you into a “yes man” (or woman).

A job interview is about finding a suitable candidate for a position available at a company. This is not a one way street. As much as you need to give a good impression, so does the company, and if you look at it that way — that you’re interviewing them as much as they are you — it takes the pressure off A LOT.

Ask questions

I don’t just mean at the end when they ask if you have any questions — honestly, you’re probably not likely to have any questions by this point, because if you’ve been paying attention, you should have covered any of questions you had going in.

When you’re asked how you would handle a particular situation or what your approach to something might be, ask for more information if you need or qualify the situation they’re referring. People are often afraid to do this in case they look silly, when actually it makes you look quite smart, and show that you’re not afraid of authority.

Take your time

using audio in powerpointDon’t rush to answer a question. There’s no real way to prepare for an interviewer’s questions, and they know that. However, your answers should also be rooted in some previous experience you’ve had, so while it may take you a while to wrack your brains for a previous example, you shouldn’t be unable to answer either. If you can’t think of an exact experience, discuss a similar one and how you handled that.

Be yourself and relax

This is so important, because as much as the interviewer may be looking for the most skilled candidate, they’re also looking to make sure you’re not a robot. Show your personality, show you’re a human, establish some rapport with your interviewers. Some of the interview process is confirming you are what you say you are, but mostly it’s finding out if you’re someone they want working for them.

In the IT and engineering industry, interviews aren’t even set up to determine skill sets, but rather personality traits, because many companies today are looking for programmers and engineers who can communicate to stakeholders in plain English, rather than tech talk.

Hiring Someone New? Why You Need to Personally Check their References

Why It Pays to Call the Switchboard When Doing a Reference Check

How do you really know the mobile numbers provided for references truly belong to who they say they are?

I recently had a conversation with a colleague who said she’d never once been asked to produce a copy of her university degree or her transcripts, despite stating on her resume that she’d graduated with a high distinction average.

Gee, I thought, not once? Not a single recruiter or employer had ever requested a copy of her degree? I found this fact astonishing, particularly since more professions require, by law, certain qualifications — as BAS agents are, for example. So how people know my friend wasn’t fibbing in her credentials? Fact is, they didn’t.

Check, even if you use a recruiter

I wrote a blog some time ago about recruiting on LinkedIn and why it’s so important to check references for yourself. People often underestimate the importance of checking a person’s credentials, so long as they get a reference from their last employer. Often, though, most people only provide a mobile number for their references, so whether you’re speaking to the candidate’s former employer, a co-worker, or their mum is sometimes anyone’s guess.

I was reminded of how important reference-checking is again, when I was reading a couple of articles on Longreads, and I found myself utterly fascinated by two of the biggest cases of journalistic fraud ever committed (though I admit to having never heard of them before the weekend, despite one occurring more than 30 years ago).

Sometimes people don’t just lie on their resume

In the first instance, a journalist named Janet Cooke fabricated a story for The Washington Post about an 8-year-old heroin addict. She won a Pulitzer Prize for it in 1981, and then had to give it back when it came out that there was no such 8-year-old. In the second case, Jayson Blair, a journalist for The New York Times, was found to have fabricated or plagiarised 36 out of 73 stories written over a 6-month period, in what turned out to be the biggest scandal in the newspaper’s hundred-plus year history.

What I found most intriguing, though, was that neither Cooke nor Blair had been properly vetted before their employers hired them. In fact, it was Cooke’s falsified resume that was ultimately her undoing when, after receiving the highest honour in the field of writing, a former employer noticed something was amiss with her Pulitzer biography — her education and professional achievements had been grossly overstated. (Rather ironically it was Bob Woodward, of Woodward and Bernstein — the journalists who uncovered the Watergate Scandal — who signed off on hiring Cooke.)

The same would prove true for Blair, who, it turned out, never graduated from university, and had a murky work history with the Times’ sister publication, The Boston Globe, where his superiors had been less than impressed with his less-than-high standard of work.

(Of course, the equally interesting case of Australian author, Helen Demidenko, who won the Miles Franklin Award in the early 1990s, only to later be dubbed by the Sydney Morning Herald as a ‘literary hoax’ also springs to mind.)

Benders-of-truth almost always get caught

Plenty of people lie or embellish on their resumes, and while a good majority of them go unnoticed, others are caught out — sometimes very publicly, and often only after the organisation has been very publicly embarrassed, as in the case of Cooke and Blair.

My advice, then, is to always check the references of new hires meticulously. Rather than calling the mobile numbers or direct lines of the candidate’s references, call the main switchboard and ask to speak to that person’s manager or superior.

And always ensure to ask for a copy of any credentials, like university degrees. If you’re employing someone where, by law, they’re required to hold a certain qualification — as is the case for BAS agents, for instance — it’s imperative you can verify the person’s credentials.

6 Questions You Can Ask to Find the Cheapest Bookkeeper

Questions can ‘weed out’ bookkeepers until you get your perfect fit

Job interview questions to hire a good quality cheap and local bookkeeper with MYOB or Xero experienceI have been reviewing the chat requests we receive via National Bookkeeping and it confirms my own thoughts about bookkeepers and the rates that businesses pay for good bookkeepers. These rates have a lot to do with overheads and qualifications — and often very little to do with experience. Allow me to explain.

Most of the daily transactions (see Daily Transactions Courses for MYOB and Xero) performed by bookkeepers involve data entry and coding. This data entry work is repetitive and once a new bookkeeper or accounts person understands the tasks, (which is often quite quickly) they can be performed over and over again with little variation except for client details and total hours worked (I’m assuming invoicing for services provided).

In the case of invoicing your contract bookkeeper could then provide reports and followup with clients to make sure your debtors management is sorted out.

The hardest thing for some small businesses is understanding how to weed out exactly the bookkeeper they need — and I hope these questions make your job easier. Remember, it’s often the answer that helps you find the right person.

  1. How long have you been performing bookkeeping work?
  2. What type of bookkeeping tasks can you perform?
  3. Are you familiar with cloud accounting software and, if so, which ones?
  4. When are you available to do bookkeeping work?
  5. Where are you based?
  6. Do you have professional indemnity insurance?

I’m going to further break down these questions and show you the answers you should be looking for. Remember that our goal with this case study is to find the cheapest bookkeeper for daily transactions accounting.

1. Bookkeeping Experience

This was once the most important aspect of a bookkeeper’s resume for employers because it demonstrated that this particular candidate has experience that will benefit the business. If the bookkeeper you’re looking for has plenty of experience, then follow up with Question 3 regarding cloud-based functionality and whether they’ve used the latest versions of MYOB, Xero or Quickbooks.

2. Bookkeeping Tasks

This question is important because if someone is educated enough to complete and lodge your BAS, or even lodge your end of year financials, then they’ll want to be charging for the skills they have. You may as well get your accountant to do your bookkeeping if you are prepared to pay for someone with high skills education and experience. Many bookkeepers have plenty of experience doing accounts receivable and accounts payable and all of the steps in between so if it’s a cheap bookkeeper you want, then weed out the ones who can lodge your BAS for you. 3. Cloud Accounting Software

It’s important to know if your bookkeeper is familiar with accounting software that is accessible in the cloud because they may know some of the advanced features that comes with that — like integrations with other cloud-based services for project management, estimating, time billing etc. It may also come in handy because they’ll be able to work at home, or even from remote locations, and be more available at potentially lower cost (less travel time and cost).

4. Work Availability

Many bookkeepers will SAY that they’re available whenever you need them, but in reality they each have their own set of requirements and they may not want to say this right up front for fear of limiting their chances of getting your work. Some bookkeepers are mums (or dads) and they need to fit into school hours, while others are really looking for a full-time or part-time job. Some bookkeepers will be prepared to work at night and on the weekend (others may only work at these times) whilst some bookkeepers will only want to work during business hours.

We all need to manage the work-life balance that comes with leading a fulfilling life, and for some people, this includes working at night. Some bookkeepers want to spend time with their kids during the day and work when they have quiet time. Some bookkeepers work for multiple clients and can only fit you in one half day a week. It’s important to understand where your bookkeeper sits in this area.

5. Bookkeeper Location

This is a pretty big consideration, even in the modern times of cloud-based bookkeeping because your bookkeeper’s location can affect how busy they are or how long it will take them to get into your office to do their work. We’ve had some examples where some of our team members live miles from the nearest town; therefore to have to travel there takes time and considerable cost. If you have faith in remote contractors and are willing to work with a bookkeeper who works from home you may find you’ll get the most ideal bookkeeper and the best price — this is something I managed to do when I closed EzyLearn’s bricks and mortar training centres and instead went totally online!

6. Do you have Professional Indemnity (PI) Insurance?

This one is a biggie because if the bookkeeper has PI Insurance they’ll also have the trappings that comes with it like:

  • Professional association membership
  • CPD / CPE point requirements
  • Basic Education Requirements to attain their Registration

If a bookkeeper has PI insurance you’re probably talking to a Registered BAS Agent, as bookkeepers who attain this level of bookkeeping do so because they want to perform one of the most important tasks they can for a business — lodge the BAS. A Registered BAS Agent is governed by the same government authority that governs Tax Accountants — the Tax Practitioners Board (TPD). Indeed, many businesses already have a tax agent or accountant who is responsible for lodging their BAS. Therefore, I’ve found the biggest reason BAS agents are popular is because you know you’ll receive an excellent job on the tricky aspects of GST and Payroll, PAYG, Superannuation etc without paying accounting rates.

Break through the ceiling with a killer elevator pitch

Business Networking Strategies – the Elevator Pitch

marketing your small business in an elevator 2For a lot of people, when they start a new business, they take a training course. It might be in an area relevant to their industry or profession, it might be a general training course, like our small business StartUp course, or it might be training in particular software, like our MYOB or Xero training courses. The best way to practice an elevator pitch is to practice all the time.

Training is incredibly important, but it’s no substitute for real-life interaction with other business owners, with whom you can gain valuable insights and perspectives on owning and operating a new business in the real world. This is what makes attending regular networking groups and events an important undertaking for any small business owner – old or new.

I recently wrote a blog post on what you should do at a networking event, but there was one point that we didn’t cover in great detail because I felt that it required a blog post of its own, as it’s crucial to your success as a networker: the elevator pitch.

Honing your elevator pitch

Perhaps you’ve heard of the term elevator pitch before. It’s most often used to describe a business or organisation’s mission statement; the name reflects the idea that you should be able to explain what your business does in the time it takes to ride an elevator. When you write a business plan, in it you need to include an executive summary, which explains what your business does or will do; it’s also your elevator pitch.

But your elevator pitch needs to do more than just explain what your business does. It also needs to encourage people to want to do business with you – or at least, continue listening to what you have to say. If you’ve completed our small business marketing course, then you’d have already practiced writing and honing an elevator pitch for your business when you wrote the executive summary of your business plan.

Be interesting, but above all, be compelling

Remember the goal of a business plan is to entice someone to invest in your business or idea, but the plan itself can run for many pages, detailing strategies and tactics for ensuring your business’s overall success. Most banks and financiers don’t have time to read every single business plan that lands on their desk, so they turn to the executive summary to see if the venture seems like a good fit for them.

It goes without saying, then, that your executive summary needs to be compelling, as does your elevator pitch. If you’ve written a business plan for your business, this is a good place to start when developing the elevator pitch you plan to use at a networking group or event. Be personable, though, and keep it conversational. Remember that the person on the receiving end of your elevator pitch is unlikely to be reading it; they’re listening to you deliver it instead, so you need to be comfortable giving your elevator pitch, while also seeming authentic.

Key elements of an elevator pitch

In crafting your elevator pitch, it’s crucial to include the following key elements:

  • Hook people with a good opening line that makes them want to hear more
  • Tell people what you do, not what you are
  • Repeat key information, such as your business name or main product or service
  • Be interesting and authentic
  • Use plain language when you’re describing a problem your product or service solves
  • Think about your end goal and ensure your elevator pitch services to achieve it
  • Finish your pitch by asking the other person what they do.

You should know have a good understanding of what to do at a networking event or group; now it’s just time to find a group to try out your new skills. Try meet-up.com or your local chamber of commerce to find groups near you. Make sure to RSVP if you are going to attend, and then stick to it. If something comes up, let the organiser know, so they don’t hold the meeting up waiting for you.

I don’t want to turn this into a financial education blog, but there are several reasons to open this spreadsheet and start seeing the resulting figures to workout the best way to allocate the money you earn. Interest rates are at record lows, house prices ‘may’ be peaking, some people say that Australian banks are so highly leveraged to the residential property market that they’ll need to hold more capital reserves.

Either way you look at it, why not use your Microsoft Excel skills and play with some calculations to see how much better off you could be if you are financially prudent now. Do Bookkeepers Need to Change What They Do?

Blog about Content Marketing and inbound marketingI recently wrote about content marketing and whether a bookkeeper is someone who can discuss or even recommend this service to the people they work for. The best way to think about this is how the bookkeeper role works in many companies, for example, do small businesses look for a bookkeeper who can provide a wider range of services than just bookkeeping? It’s common for a bookkeeper to work in the administration areas of a small business because finance and administration go hand in hand and it’s common for contractors who understand cloud based services to delve into and explore other cloud based services.

I was speaking to another bookkeeper who is a Registered BAS Agent about her website and online marketing and she was telling me about all these fantastic things she was doing to promote her own business.

In the end it often depends on the size of a bookkeepers clients and the type of work they want to do. When you develop your bookkeeping and accounting skills you become more valuable as an accounts contact, particularly as a Registered BAS Agent, however you can become more of a small business administrator if you are aware of how to manage many different parts of the business.

How Do Business Recruit Staff?

LinkedIn, Job recruiters and the Internet

Hiring-Time-vs-Money-comparison infographic by recruitloop-small - shows Linkedin is far cheaper than the old job ad alternativesToward the end of 2012, LinkedIn, the social media platform for professionals, reported that their stock had jumped a massive 20 percent in just one day, taking their annual revenue to $860 million. The results were impressive. Forbes magazine was speculating that the company, which was first publically just two years earlier, could soon outpace the revenues of employment website giant, Monster.com. It even looked as though LinkedIn could achieve what other employment websites hadn’t: combining job ads with the art of recruitment.

The main driver of LinkedIn’s success – and indeed the company’s main focus – is its Talent Solutions service, which allows companies to market itself and target talent directly, without the need for a middleman, like a recruiter. This, many have speculated, sounds the death knell for an already wounded recruitment industry, which has been about as secretive about the talent procuring process as Colonel Sanders was about those 11 herbs and spices.

Great For Jobseekers and Entrepreneurs

LinkedIn is a fantastic networking tool for businesses and individuals alike and an equally fantastic online resume for independent contractors and jobseekers; both are topics we’ve written about quite extensively on this very blog. But to truly determine how useful it is to jobseekers, we thought we should look at how useful it is for businesses.

The usefulness of something, particularly for a business, is usually determined in monetary terms – in other words, how much does it cost and how much time or money (though both time and money are synonymous in business) will it save us?

Fortunately, Aussie start-up, RecruitLoop, which is now based in both Sydney and San Francisco after opening offices there when they secured venture capital in 2013 for their new kind of online recruitment agency, ran the numbers for us. (they’ve subsequently grown via acquisition!)

The Old Recruitment Process

Traditionally, if you wanted to locate top-tier talent for your organisation, you had little choice but to hire a recruitment agency. They possessed the secret formula for procuring the right candidates and charged handsomely for it, usually in the vicinity of 15-30 percent of the salary on offer, per hire. RecruitLoop says you should expect to pay about 20 percent.

But first you have to find a recruiter you like. Conservatively speaking, this could take about two hours, including the time it takes to brief the recruiter on the position and candidate you’re looking for. Then it’s over to them – for now.

The recruiter may weed out the good candidates from the bad, but that’s literally it. You still need to interview each candidate, whether it’s two or three or more. After a customary 30 minute pre-interview phone call, it’s standard practice for a candidate to meet with the hiring manager at a company at least twice, sometimes three times. That’s a minimum of 7.5 hours.

RecruitLoop also pencils in time to wine and dine candidates. I don’t know about you, but I rarely hear of a junior or mid-level executive being wined and dined by an employer. This is a practice usually reserved for the top brass, so I’m going to reassign that time to checking out each candidates’ references.

Yes, this is the recruiter’s responsibility and it’s what you’re paying the big bucks for, but it’s precisely because you’re shelling out those big bucks that you should do your due diligence and check out each candidates’ references yourself. (I give you two good reasons why in this blog post.)

Altogether, you’d have spent 13.5 hours on the hiring process, in addition to the 20 percent finders fee you pay to the recruiter. Assuming the candidate’s salary is $75k, and your salary is around $90k (or $47 an hour), you’ve just spent $19k.

The New DIY Recruitment Process

In the RecruitLoop example, they listed multiple employment websites to advertise a job vacancy, but we reckon you only need to use two websites: LinkedIn, which they estimate costs around $1,500 an ad, and Gumtree, which is free.

It should take you about an hour to write your job advertisement, perhaps two if you’re a little rusty or the position is not quite straight forward, which in small business it rarely is. We’ll note down two hours for ad writing, and thirty minutes to post them both.

The average corporate job advertisement yields about 200-300 resumes from jobseekers, but as a small business you may receive less than that. Even if you receive as little as twenty resumes, you still need to cull that down to two or three candidates. That should take you about 3.5 hours.

Then comes the interview process. This shouldn’t take any longer than it would if you were using a recruitment agency, which RecruitLoop estimated would take about 7.5 hours (though they estimated 12.5 hours in their info graphic). Then tag on 4 hours to check each candidates’ references.

You’re looking at about 17.5 hours of your time, plus the cost of advertising on LinkedIn. Assuming your salary is around $90k per year (or $47 an hour), altogether the new DIY hiring process has cost you just under $2,500, though it could cost you as much as $4,900, according to RecruitLoop.

Accessing What’s Behind the Curtain

Since hiring a recruitment agency only saves you about four hours, but costs exponentially more in agency fees, it would seem that the only reason to go with a recruiter is to access to that secret Talent Procuring Process.

But given that the majority of recruiters are now using LinkedIn to target new talent, in addition to their existing database – and who cares about one recruiter’s database when LinkedIn has the biggest in the world? – wouldn’t you rather save your money, invest the time, and go behind the curtain yourself? I would.

The key, of course, is to ensure you’re using LinkedIn correctly, in the first place. After that, the rest is up to you. Next time you’re looking to hire a new staff member – or maybe even an independent contractor – I encourage you to think about the DIY way.

Ever seen these headings in online ads? It’s sensational I know and I’d rather not revert to such tactics, but the truth of the matter is that the personal work you do to become a better networker and learn how to become a good referrer of business to other people will turn you into the “go to” person a lot of small businesses would like. The result is that you’ll pick up more business because people trust you.

I’ve written before about the power of combining websites like LinkedIn and good Referral Marketing techniques, but they worth mentioning again, particularly as Michael Griffiths is holding his next Referral Marketing Master Class very soon.

A recent example that Michael gave me about the benefits that one bookkeeper received because of their new-found referral marketing skills is Don Doolan from First Class Accounts. He was able to triple his lead generation just by focussing his efforts on effective networking and finding a way to help his network on contacts improve their business.

Is Referral Marketing just good Customer Service?

Customer service is an important aspect in every business. It’s so important that even the largest of Australian and US companies use it as a tool to generate more sales! We include Customer Service tips in our Small Business Management and StartUp Course from David Hall and I’m mentioning it here because both customer service and networking require a similar effort in modifying your approach to customers and listening to them.

When you listen to your customers in your regular conversations you’ll discover many opportunities to either:

  • Mention a product or service that you offer, or
  • Mention that you know someone who could provide them with exactly what they are looking for.
