3 Things You MUST Do in Excel!

Business owners and job seekers take note!

Excel isn’t just for budding bookkeepers; it’s a great tool for all business owners to know.

MICROSOFT EXCEL IS THE most widely used spreadsheet application in modern computing. That said, it’s also one of the more difficult programs of the Microsoft Office Suite to learn, which is why we recently updated the content of our Excel training courses.

A lot of people do our Excel training courses to help them “skill up” to find a job, find a position better suited to them, or develop their career path. However, Excel is a fantastic tool for small business owners as well.

But whether you use Excel to create a pivot table or a database, there are a few things you should do each time you open an Excel document. Here we present you with three:

1. Vertical align: always centre

Always align the text in the cells of your Excel spreadsheet to the centre, or the top in certain circumstances. But never, ever align it to the bottom. It’s hard on the eyes and, when you’re looking at lots and lots of data in lots and lots of cells, it becomes difficult to know which row, column, etc, you’re looking in. Centre alignment, always.

2. Build error-checking into formulas

There should never be an instance where one of your workbooks is showing a #DIV/0, #N/A, #REF, #NAME?, #NUM!, or #NULL! error. This is especially true if you’re sharing these workbooks with your business partners or accountant or whomever.

Seeing an error in a financial report may cause the reader to doubt the accuracy of the entire workbook, so ensure your workbooks remain error free by using the simple IFERROR() error-checking function in Excel.

3. Print preview your work

Again, if you intend to share workbooks with other people, you should always ensure that your Excel workbooks can be printed nicely and easily, even if you don’t intend to ever print the document yourself. This is easy enough to do via File > Print Preview and adjusting the print margins before sharing (or printing) the document.

However, judging by the number of times I’ve printed an Excel document only to collect 87 sheets of paper off my printer to read the contents one 4×4 table, the function is seldom used by anyone else but me!

Will the Self-Education Cap Deter You from Further Study?

For a country that has long considered itself the “clever nation” — the land responsible for the cochlear implant, the hills hoist, and the black box flight recorder — the Federal Government’s proposed $2,000 cap on self-education expenses seems a little surprising.

The Government announced the self-education cap two weeks ago and since then, speculation has been rife that the cap will deter employees and businesses from undertaking further study.

Annette Tsouris, Director of Studies at Australian Workplace Training has been quoted in the website, Smart Company, as saying that though the $2,000 cap was reasonable, for people currently employed and looking to up-skill, “the average price of a course is around $3,000.” While the cost of post-graduate studies at university usually run into the tens-of-thousands.

Online Training — The Cost Effective Alternative

Of course, costly face-to-face study and post-graduate degrees aren’t the only learning methods available. Should we offer MYOB Training Courses to group buying companies?

We’ve been approached by many different Groupon type companies. There seems to be hundreds of these sites popping up every day and they are famous for offering you almost unbelievable discount coupons for almost anything but most commonly services like pedicures, restaurant and cafe meals etc. We’ve always ensured our prices are competitive and bookkeeping students receive good value for money, but our Training Partners have tried them and we’ll share their opinions with you.

For business owners (or merchants as we are called) group buying sites promote the possibility of receiving hundreds of sales of your product (so you better make sure you can service the demand) but what do they want in return. Here’s a classic scenario:

Normal Price: $200

Group Buying Price: $100

Saving to you: $100

Margin that goes to the Group Buying Site is typically 50% of the discounted price, ie. $50

This means that a merchant that would normally receive $200 for something, will now receive $50! Is it worth it? Then why not just sell it on special for $100 and spend some money advertising it? As you can see, we are pessimistic about the future of group buying sites. Our training partners workface.com.au offered a discount on their Microsoft Excel training courses only to receive a handful of sales.

See if you can recognise some of these names: Cudo, Groupon, AlltheDeals, Spreets, Living Social, Grabone, BizzBuzz etc. At the beginning of 2011 a local Australian startup in the space was sold for $40M! The main reason we don’t like the big group buying sites is because of some of the conditions imposed.

When you buy the discount voucher the group buying site earns the money. Some of the more selfish sites will then only pass this money to the merchant when the customer uses the voucher. In other words, if the  customer doesn’t use the voucher within the “valid period” the merchant earns nothing and the customer loses the benefit!

By the way, I was at a software training function last week and a birdy told me that consumer protection laws might come into affect that provides protection for buyers of these discount vouchers – if you buy a $50 product then you can receive $50 off after the offer period has expired. Watch this space…
