How to Get Paid on Time by Doing Absolutely Nothing

In the past, we have talked about debtor management, the ways you can avoid late-payers by keeping an eye on your cash and assets cycle, and now we thought it was time we talked about the ways you can keep on top of those outstanding invoices without even lifting a finger!

Why Getting Paid on Time Matters

Dealing with late-payers is frustrating, time-consuming, and at times, downright awkward. For freelancers, sole-traders and small businesses, getting paid on time is essential to keeping your cash flow under control.

If you’re not in the position to turn down those perpetual late-payers’ business, then you need to put strategies into place to best manage those late-payers.

Gentle Email Reminders for Getting Paid on Time

Sending a polite, yet firm reminder email to clients a few days before their invoice becomes due is a good way to remind people an invoice is due to be paid, particularly if you have terms of 21 days or more. Often you’ll find most people will pay you once they’re given a gentle nudge via an email reminder.

Of course, there are always those who’ll still try and stretch it out as long as possible — it’s likely their cash flow isn’t much chop; in a sense, by paying you late they’re robbing Peter to pay Paul.

Most of the time, these clients are hoping you haven’t noticed. By sending them a follow up email reminder a couple of days after your invoice was due will show them you have noticed, you haven’t forgotten, and they’ll likely concede defeat and pay — if they still don’t respond, it may be time to implement some of the strategies we discussed here.

But if you find emailing you clients each time their invoices come due and then again when they’re late is not only time-consuming, but also awkward, try setting up the parameters in your invoicing software so that automatic reminder emails are sent out before and after your invoices come due.

Should we offer MYOB Training Courses to group buying companies?

We’ve been approached by many different Groupon type companies. There seems to be hundreds of these sites popping up every day and they are famous for offering you almost unbelievable discount coupons for almost anything but most commonly services like pedicures, restaurant and cafe meals etc. We’ve always ensured our prices are competitive and bookkeeping students receive good value for money, but our Training Partners have tried them and we’ll share their opinions with you.

For business owners (or merchants as we are called) group buying sites promote the possibility of receiving hundreds of sales of your product (so you better make sure you can service the demand) but what do they want in return. Here’s a classic scenario:

Normal Price: $200

Group Buying Price: $100

Saving to you: $100

Margin that goes to the Group Buying Site is typically 50% of the discounted price, ie. $50

This means that a merchant that would normally receive $200 for something, will now receive $50! Is it worth it? Then why not just sell it on special for $100 and spend some money advertising it? Which table to use?

The ATO release papers that provide you with the information you need to perform your calculations regarding PAYG, super etc. In this blog post we look at Schedule 1 Pay as you go (PAYG) withholding NAT 1004. If you take a look at table 7 on page (see diagram on this page) you’ll see the variables or what the Australian Tax Office call coefficients.

Hello to New Zealanders

Online accounting appears to be the domain of online workers like website developers and we have had very little demand for MYOB Live Accounts (online accounting competitor to Xero) so as yet we don’t cover MYOB Live Accounts. How long will an online training course take?

online MYOB Training Course and SupportSometimes we use the EzyLearn Blog to inform readers about general course information. Our online courses are completely self-paced so you can complete the online MYOB course in 7 days, 2 to 3 weeks or just use it as a resource.

It’s that time of the year when traditional training centres start their class-based training courses. When EzyLearn operated three physical training centres in Sydney we spent a lot of time scheduling which courses. We asked ourselves questions like

  • What day should the course start
  • Which course should be held on a Tuesday/Wednesday etc
  • Should we schedule it for the morning, all day, evening or Saturday
  • How many weeks should the course last
  • Which training room and centres should we hold the course,
  • Who will the trainer be
  • Is the trainer available

MYOB Training Course Update: New training content for MYOB Reporting – Profit and Loss Reports

The EzyLearn Blog is where we officially release information about updates and additions to our existing training courses and today we announce new content for the Reporting Subject in our MYOB Training Course.

We are thrilled to announce the production and implementation of the Reporting module in the online MYOB Training Course. In the production of this course we will be including the learning outcomes for BSBFIA401A Prepare Financial Reports subject that forms part of the FNS40210 Cert IV in Bookkeeping course and certification.

Topics included in this course will include training on how to

  • Prepare an asset register or property, plant and equipment, determining the depreciation calculation for these assets and keeping a depreciation schedule
  • Adjust expense and revenue accounts for prepayments and accruals
  • Adjust ledger accounts for inventory and transfer to final accounts
  • Create journal entries for balance day entries and prepare final general ledger accounts to show gross and net profits for the reporting period
  • Prepare revenue statement, balance sheet and cash-flow statements

MYOB Training: Exporting MYOB Data for an Excel Mail Merge

We recently created 9 new training videos for our online MYOB training course and one of them demonstrated how to export and import data from an MYOB training company datafile. Exporting and importing is used to extract transaction and sales information and also customer or supplier card files from MYOB to use with Microsoft Excel in performing mail merges.

We have included the simple accounts list that we use in our online MYOB bank reconciliation course as a file you can download and open up in Notepad or Microsoft Excel. The image above shows what the file looks like when opened up in Notepad. It’s called a TAB-DELIMITED text file and this example includes a header record that gives you the name of each field (column)

    I remember the days when MYOB was a young company called Data Tech Pty Ltd, they were based in Crows Nest and gave trials of their software on floppy disk and videos on how powerful their software was on VHS. It was also an awkward situation if you wanted to become “certified”. Many people learnt how to use the software and offered their services and it wasn’t until you had a couple customers under your belt that you could become certified by MYOB. This scenario is now very different.

    Education businesses around Australia (and New Zealand) now have strict guidelines to follow when they deliver and assess their training (as part of the Cert IV in Training and Assessment) and there’s a whole new official language which includes: Scope of Registration, Units of competency, Learning outcomes, competency mapping, Core subjects, electives, qualifications, subjects etc. The great news is that we are now “mapping” our training material with the outcomes for the Cert IV in Bookkeeping!

    This qualification will be mandatory by 2013 if you plan to perform bookkeeping tasks for a business whether you are an employee, contractor or a small business owner.
