Is a website more important than your shop or warehouse?

What’s most amazing is that many of these people have a website that hasn’t changed in 2 years!

This is amazing because there are some very powerful and free website content management systems (CMS’s) like WordPress and Joomla and very inexpensive but professional templates (also called themes) where all you need to do is add hosting and a domain name and you have a website that you can change whenever you want. You can also easily update the news section of your website (usually called a blog these days).

The most important thing about a website though is that it is often the first time potential customers get to know something about you and how you operate your business. Your warehouse and office are things that they may never see, plus, you can use your website to give them some important information that makes them buy from you straight away.

At a recent business owners breakfast I heard someone speak about blue ocean and red ocean strategies. I’m going to write some blog posts about how to build your business as part of our project to help our MYOB students start, maintain and build their own bookkeeping businesses and this article is a fitting way to start.

The Blue Ocean strategy involves finding new demand in an uncontested market which essentially means to innovate. This essentially means create something new, but I think for many small business it could means package your services so that you can demonstrate a difference between your bookkeeping business and others. The Red Ocean strategy is all about competing head to head with your competitors to try to get existing customers to move away from someone else to use your services. You can get a better idea of what Blue Ocean strategy is at their website.

Want to use Dropbox to replace your USB thumb drive?

I wrote earlier in the week about Google Drive and asked the question about how it compares with Dropbox to store and share files in the cloud. Today we provide you with a free training tutorial video to show you exactly how Dropbox works. It’s simple.

Many people talk about dropbox as a means for storing files and sharing them with other people but it’s also important to realise that you can use dropbox as a backup solution to store important files like your MYOB datafile. It can also be a place where you store common documents that a group of people are working on.

Remember that when you backup to a place like Dropbox you are effectively keeping a copy of your file “off site”. If your building goes up in flames or your computers are stolen you still have access to those files!

A great feature about Dropbox is that many people can share a folder and as soon as a file is uploaded into a shared folder, or as soon as a shared file is modified you receive an instant notification in your system tray area (at the bottom right, near the time, of your Windows desktop).

Want to see what MYOB looks like when it’s hosted in the cloud?

Remote_desktop_connection_icon for MYOB hosted in the cloudAs part of our Continuing Professional Development (CPD) program for our Bookkeeping Academy we write and inform about products and services that will help bookkeepers build their business and job seekers learn new skills to become more employable.

We recently wrote about companies that offer MYOB hosting. This enables companies to access their MYOB datafile from no matter where they are and it also enables remote contractors to manage a companies bookkeeping from their own homes. In this blog post we include a video demonstration about how easy it is to use MYOB in the cloud.

We spoke to John from Bluewave who use to promote his MYOB hosting services under the domain MYOBinthecloud.com (we think it’s a great name because it describes the service that he offered very accurately) and he was kind enough to give us a demonstration account so that we could give a hosted version of MYOB a spin. He said that they provide hosted solutions for more than just MYOB and we were able to create an invoice and email it using Microsoft Outlook.

The MYOB version we used in this demonstration is the stable version 19 (as opposed to MYOB AccountRight version 2011 that had a lot of bad publicity). The great news about MYOB is that it’s navigation hasn’t changed significantly for at least 10 years from our experience.

Google Apps is now Google Drive. Is it better than dropbox?

We recently received a message that Google Docs is now Google Drive. They’re tying it all into Cloud based storage and services and it looks like a great move, but will we use it instead of Dropbox?

We recently wrote about MYOB in the Clouds, we use a small business telephone service that is in the cloud, our training courses are in the cloud and our website are built using a cloud-based website builder (WordPress) so it’s natural that we try to keep abreast of what the big technology players like Google are up to.

Below is a simple video (if you are reading this blog post via email, click on the heading to see the video at our blog site) that shows what you can do with Google Drive and all your devices including smartphones that are connected to the Internet. How does it compare to Dropbox? I agree with Ed Bott from the prolific technology writers at ZDNet.

Hundreds of businesses already use MYOB hosted in the cloud!

In our research about cloud based accounting software we discovered that MYOB have an approved hosting reseller program. This is a program where MYOB partners with companies who specialise in providing hosting services so that MYOB users can access their data file from anywhere.

We recently spoke to one of those hosting businesses and took their service for a test drive and it was amazingly quick and did everything we needed it to do. We were able to login, access the MYOB data file, create an invoice and email it via the cloud based hosting account!

The images in this blog post show the difference between a WordPress website and a WordPress website that uses a free plugin that makes them easy to read on a smart phone, it’s called WP Touch.

We mentioned the great service from Google earlier this week that shows you what your website looks like on a mobile and how it’s also linked to the partnership that Google have with MYOB Atlas in Australia.

We mentioned also that WordPress is a free software program used by Millions of website owners around the world. We installed a simple free plugin to create a much better reading experience (see the image on the left).

Can MYOB repay it’s debts with its head in the clouds?

cloud-accounting xero vs saasu vs myob online training courseWe wrote back in early 2010 about what appeared to be a revolutionary move at the time about MYOB founder Craig Winkler jumping ship and moving to Xero. In the recent bad press about the bug-ridden upgrade of MYOB AccountRight 2011 there is an interesting mention about Cloud Based accounting and MYOB’s goals to get into that space.

In the past 12 months we have worked with as well as provided training for many virtual assistants (remote contractors) and we’ve come into contact with other cloud-based accounting/bookkeeping services you might like to know about. Our pick of the bunch would have to be SAASU at this stage because they have a product that is perfect for remote contractors or micro businesses.

It appears that Xero and SAASU own the online accounting market space but it will be interesting to see how MYOB go as they diversify into cloud accounting as well as their many other products like website hosting, which we’ve never really understood when there are market leaders like MelbourneIT and NetRegistry as well as thousands of small providers.

While we’re on the topic of cloud, here’s a little plug for virion business grade voip. Our trainers have compiled an Excel spreadsheet to demonstrate the cost savings of VoIP over traditional telephony and this year we will have some training for IT Consultants about the Siemens Gigaset office phones.

Is it better to repay your debts or prepay with discounts?

Microsoft Excel prepayments online training course and MYOBThe recent bad news about MYOB AccountRight 2011 demonstrates the risks involved when you borrow money for any venture (MYOB have a $575M loan that they need to repay). The money needs to be paid back and luckily you can use MYOB software to keep track of what is owed to you. It also brings up the question of rather than having a debt to repay can you pre sell what you do (at a large discount)?

We are asked many questions in our MYOB online training course support service we call “EzyLearn ANSWERS” and one of the recent questions was “what is the best way of keeping track of Prepayments”. We took the question to our Registered BAS Agent and MYOB Tutor as well as our Microsoft Excel Expert and we’ve come up with two scenarios, one using MYOB and one using Microsoft Excel.

What is the best solution?

You could use MYOB to handle pre-payments, or you could use it as a simple track of the lump sum payment you’ve received into your bank account and use Excel to enter the day to day information about how and when that prepayment is used.

We’ve created an Excel “Handy file” for you and we’ve putting the finishing touches on the workbook that explains how to do it using both Excel and MYOB so stay tuned to this blog or subscribe to receive these blog posts via email as they are published.

Will Your Smart Phone Become Your Future Computer?

For instance, when we looked at Google Analytics to see our blog readership stats, we found that a good number of you are reading this on your smart phones.

Smart phones have so permeated our lives and become so powerful that it’s little wonder they could become much more.

There’s talk about smartphones becoming your electronic wallet (or at least your credit card). Then there’s Ubuntu, a company that make software that helps your “Android” smartphone become a computer. Of course, right now many of us already use “the cloud” to communicate, write letters and much more.

We spend a lot of time looking at new technology and thought you would be interested in this cutting edge technology.

Apple or Android?

Although the Apple iPhone is the market leader that everyone talks about, some of our team members, including myself, use an Android-based phone. I find this preferable as it’s easy and has live integration with Google Apps (ie. gmail).

The great thing about companies that manufacture Android-based smartphones is that they are building in HDMI, USB and other great connectivity features that enable this type of technology.

It’s a beautiful example of convergence in technology.

MYOB Training Course Update: New training content for MYOB Reporting – Profit and Loss Reports

The EzyLearn Blog is where we officially release information about updates and additions to our existing training courses and today we announce new content for the Reporting Subject in our MYOB Training Course.

We are thrilled to announce the production and implementation of the Reporting module in the online MYOB Training Course. In the production of this course we will be including the learning outcomes for BSBFIA401A Prepare Financial Reports subject that forms part of the FNS40210 Cert IV in Bookkeeping course and certification.

Topics included in this course will include training on how to

  • Prepare an asset register or property, plant and equipment, determining the depreciation calculation for these assets and keeping a depreciation schedule
  • Adjust expense and revenue accounts for prepayments and accruals
  • Adjust ledger accounts for inventory and transfer to final accounts
  • Create journal entries for balance day entries and prepare final general ledger accounts to show gross and net profits for the reporting period
  • Prepare revenue statement, balance sheet and cash-flow statements

Does that sound familiar? It WAS also called the P&L Report, but as our country marches in time with new international accounting standards we join the rest of the world in calling it the Income Statement. An Income Statement tracks revenues and expenses during a given period. The difference between the revenues and expenses represents a net loss or gain and Income Statements provide business owners with an understanding of the health of their business.
