You can start a bookkeeping business alongside your job

Starting a bookkeeping business is a learning process

Thinkink about starting your own business and want to learn from small business mentors and other entreprenuersWhen I started my first business I was in my early twenties and I knew that I needed to be available during normal business hours when customers made enquiries so I jumped off the short corporate journey I was on and worked full time in a bar – 4 long shifts of 10 hours, including weekends. It was a big change in mindset for me (admitting I had failed in the corporate race) but it gave me the time and money to learn about business and what having a business is like. It’s the same for a new bookkeeping business.

Finding the time

Time management is tough when you are a mature person: family, kids, school, part-time work and studies are common for many people in their thirties and forties and sometimes this is enough to stop people before they even get started. Despite the continual pressures on your time it is possible to fit in a new business and it’s centred on finding your productive time or available time.

Some people use mathematics to find available time – 168 hours in the week, then block out things like travel time, work-time, study time etc, but I think you’re best off finding the time where you can get into “the zone”, after all you’re exploring, practising and researching something that will result in you being able to earn money close to home or even by working at home! For early risers this time is first thing in the morning while you’re drinking a strong coffee, for others it will be at night after the kids have gone to bed and for some it will be on the weekend when you’re not really doing much else. Most people living in the big cities have a long commute into the city and often this is a good time to study, read and research. You only need a couple hours a week to start imagining yourself in your new business.

Keeping track of your tasks

OK, so you managed to find the time – most people can find the time if the task or project they are working on is important to them. The next thing is how are you going to keep track of what you learn and what you need to do? My first real success in this area came when I listened to a Jim Rohn audio cassette (yup) where he talked about the value of a journal filled with empty blank pages and how that journal was more valuable than a book filled with details about someone else’s life. To reward myself for writing in it, I’d treat myself to a coffee at a cafe and to this day I write in a journal most days of the week – particularly at the beginning of each week – I don’t go out to drink as many coffees though.

This practice taught me that every obstacle can be over come and every goal reached, it’s just a matter of figuring out how to do it. This practice also helped me understand what I was working on better because I would spend the time to make a note of the biggest challenges.

I’ve used a number of different software programs and services to help me manage tasks and time, including:

  • Google Apps Tasks
  • Google Apps Calendar
  • Asana
  • Basecamp
  • Time Meter

I use my journal to write down goals for the week for myself and for my direct team and I refer to it several times a day during the entire week. Throughout each day and at the end of the week I put a big tick next to everything that was completed and if there are things that I didn’t complete I don’t kick myself about it; I just re-write it as a task for the next week (or realise that it wasn’t that important).

Be accountable

jim-rohn-inspiration-for-starting-your-own-bookkeeping-business-and-setting-and-achieving-goalsA big reason for my maintaining the use of a journal was to have a record of the work that I had DONE as much as what I’d planned to do. One of the worst feelings I can imagine is having so much going on in my mind that I don’t know which way to go or where to start and by going through the process of journaling and setting goals I am able to gain clarity and set some simple achievable goals. Many of my goals are to simply learn more about the task that I am working on or understand something that a member of my team is struggling with.

Lately we’ve made some big changes to our Enrolment Voucher System and it has involved connecting multiple different online services together in one solution. Some parts of it worked smoothly while others were a real struggle so I wrote that down as a goal to research and we ended up finding a solution EVERY time. This system enables us to provide low cost courses to our corporate training clients so it’s very important to us.

It’s not about busting your balls for not finishing a task on your list, it’s more about remaining on track to achieve your goals and keep moving forward constantly in the direction of your goals.

Do something you love doing

Am I really doing something I love doing? More than anything I would like to be swimming on a clear beach, sun bathing, drinking something alcoholic (but in moderate proportions of course), then eating something and then having a rest 🙂 But as far as work is concerned I work from my home office and choose my own hours and have a team of people who do the same! It’s something I’ve wanted to do ever since I closed my last physical training centre in Dee Why in 2006!

When I hear these words it’s more about managing the tasks that you don’t like doing (you’ll be glad to hear that most business owners hate doing their bookkeeping and would rather find a good local bookkeeper 😉 and focusing your time and energy on the things that you like doing. The stuff you don’t like often still needs to be done but you can always find alternative ways of solving the problem. You can

  • find someone who prefers to do that work and delegate it to them,
  • do the work first thing in the morning to get it done and over with, or
  • find a way to automate or systemise it.

Challenge yourself to grow

This one is the hard one because it involves making yourself do something you don’t want to in the hope you’ll be able to achieve something you don’t think you can achieve. This is the step that often requires the help of a business mentor or a coach and some people buy into a franchise in the hope that the system of the franchise will enable them to just do the work.

One thing I have learnt for sure though is that if I didn’t make a start I wouldn’t be doing what I am doing today. When you start on your journey of having your own bookkeeping business you change personally because of the challenges you face and what you learn along the way often changes the direction your business takes or the services you want to provide.

In business to help others

This is one of the most important things to keep at the front of your mind when you’re starting a new business – that only when you are helping to solve other peoples problems are you going to be of any value. When you maintain the positive thought that you are actually in business to help someone with their problems it’s easier to focus on solutions for your clients rather than what YOU want right now and that is the moment your challenge will begin to show results. It is often the moment when you go from the “I want/need $X per hour” to “I can help a business do XXXX better and save them XXXXX” – you can fill in the blanks yourself.

I wrote this blog after listening to stories from different people, most of them currently working in the corporate world where they deal with long commutes, frustrating traffic, childcare costs, politics and deadline stress, under-staffing etc. These people are very experienced and their knowledge would help growing businesses closer to where they live but these people still have to manage the transition while still paying their mortgage. To these people I say “Start now and with a little bit of time each week you can have a business and potentially even new clients within 3 months, while clearly defining how you’d like to work the the type of clients you want to work with”.

How Much Should You Pay for Bookkeeping Business Marketing

Michael Locke pointed out very clearly in that interview that product (and service) design, including packaging and pricing, is one of the pillars of good marketing – one of the Four P’s and Bookkeeping Business marketing is the same. Many bookkeepers, particularly those starting a new bookkeeping business after coming from the corporate accounting world, think in terms of earning dollars per hour and days per week whether they work short term or several days a week so a big part of our bookkeeper induction into National Bookkeeping is to help manage their calendar for multiple clients and clients of different sizes.

Business plans, spreadsheets and other templates for bookkeepers

bookkeeping-basics-free-education-guideIt’s not hard to find a template for a business plan and if you are good at spreadsheets or have used Microsoft Excel in the past you’ve probably already got some good “templates” to work with. Things like business cards, flyers and prospect questionnaires are included in the National Bookkeeping licence but again I’ve met many bookkeepers who spend money on graphic design, websites and flyers before they even “advertise” their message to potential clients and I often ask how important that really is considering most clients make a decision based on the person they communicate with for bookkeeping work.

We include our Microsoft Excel Course – all 9 in the licence. We also include the MYOB and Xero courses and if you let us know you’d like to be promoted as a local face to face trainer for MYOB we’ll work to connect you to businesses who want to learn how to use these programs for their business.

There’s work that Deb needs to do but its focused on customer service and helping local businesses rather than on marketing.

This means the estimator can use it to generate a quote at a site, the office administrator can convert quotes to orders and invoices and the remote contractor can sign in and do accounts receivable calls from their home office. This is good news! All major accounting programs now offer cloud access — MYOB, Xero and Intuit Quickbooks.

Many students enquire about the Microsoft Excel courses because spreadsheets are complicated for people who don’t know how to use them. However, I never cease to be amazed at how many people confidently state, “I know how to use Word, that’s easy”.

Microsoft Word is used in so many aspects of a business yet too many people think that just because they can type they are good at Word. Things like:

are covered in our 203 to 205 courses (so they are considered beginners to intermediate Word skills) yet I am surprised at the number of people I meet who don’t truly understand how these work!

When we work with a new contractor, even as part of our National Bookkeeping Network, we ask new members to write up an education guide if a bookkeeping customer is looking for a certain task to be completed. We end up putting the bookkeeper through our Word course and they discover a whole new world of computer skills that enable them to do more office admin work for their employers or customers — particularly when it comes to long form documents like instruction guides, tenders and even eBooks which are becoming increasing used in online digital marketing.

One EzyLearn student helps another from MYOB bookkeeping to designing websites for baby massage using WordPressAs I’m sharing so many EzyLearn student stories, I’ll provide another example of a recent student, Helen from Bright in Victoria (check out where Bright is located in Google maps and you’ll see just how far away she is from the nearest capital city — again, the beauty of working from home using the internet!)

Helen is a Registered BAS Agent and has been for a long time. She performs all the bookkeeping tasks that many of our students aim to offer by being a BAS agent, but she is also interested in being a little more visually creative — at least part of the time — so she completed our WordPress Course and as a result we’ve introduced her to some clients. Since then she’s actually been paid for creating and editing websites! One website she created and continues to edit as required is for ANOTHER student, Sonia who completed our MYOB course years ago to help her with her husband’s business!

Tracey’s Will Hallam is going to Mercury and she’s starting a business to raise funds

Between October 2015 and January 2016 I’ve been doing something a little different and something that I haven’t really done in the past. You could say it’s part of the development of new ideas and concepts for EzyLearn and I don’t know how it will work out but am very interested in your opinion and feedback.

Business StartUp Course – EzyStartUp

Over the summer break we renamed our Small Business Course to the EzyStartUp Course and we’ve more clearly targeted that it is for people who are moving from being an employee to working as an independent contractor (with a bigger more comprehensive and detailed Business Plan Package coming later in the year for bigger businesses) and as part of these changes I’ve been interviewing successful business owners about all aspects of their business.

Setup, Legal, Vision, Ideas, Structure, Forecasts

I’ve been lucky to have met a lot of business owners of the last 20 years because many of them have been willing to share intimate details of their businesses in my interviews and the information covers all aspects of the business process from setup and planning to marketing and sales to exit strategies and succession planning. One of the people I interviewed is Tracey Dickson, who bought a promotional products business, built it up and made it valuable using technology and sold it when she was ready to exit. I’ve interviewed Tracey for a number of subjects for The Australian Small Business Centre Pty Ltd and in particular I’ve delved into what she’s gone through in writing a new children’s book based on a character she created called Will Hallam. You can watch the introductory video interview below.

Ideas turn into products that are packaged for markets who buy and use them

The process of creating these videos went a little like this.

  1. I looked at each of the topics in the ASBC Small Business Management Courses
  2. I compiled a list of questions that I thought are relevant for each topic (some as a result of further research)
  3. Looked around at people I know in various different business types (importer, retail, professional services, marketing, sales trainer)
  4. Studied these business owners websites and business to compile questions that cover the course contents but also relate to their business
  5. Interviewed the business owner with input from them before and in between videos

After going through all the technical and know-how aspects about the steps you need to take it dawned on me that all of these business owners had something more than just knowledge and experience, they had all those character traits that make business owners successful. They include:

  • being inquisitive
  • always asking questions
  • learning new things
  • studying their market
  • evaluating their business
  • making changes if needed
  • sticking at it
  • trying again and again
  • working to a plan
  • working out another way to do things

There are probably many other words or phrases that can be used to describe these traits and they all add up to what makes these people and these interviews so valuable. For many people starting out in business for the first time it’s weird just keeping a time sheet and invoicing for the work they do and then following up for payment so listening to experienced business people and understanding the right attitudes will make as big a difference as the technical know how itself.

The Power of the Homegrown Australian Business

When ‘Aussie’ is a gold winner

Not many people are aware of this, and I’ve been quite remiss when it comes to talking about it on this blog. In fact, I’ve spent more time talking about Zoho and QuickBooks recently, than I have spent time talking about Reach.

This is partly because I’ve been quite interested to see how QuickBooks has been resurrected by it’s American-owned parent company, Intuit, as it attempts to take on Xero and MYOB in the Australian marketplace again.

Zoho is both comprehensive and cheap

My interest in Zoho, meanwhile, stems from one of my contractors, who uses Zoho Books to manage her business accounts; she was telling me about Zoho’s many features, and I surprised to learn just how comprehensive the Zoho Books software is for such a low price.

Zoho and QuickBooks are both positioning themselves as low-cost accounting packages to appeal to the substantial small business market in Australia, but there’s just one thing they can’t compete with Reach Accounting on, and that’s ‘Australianness’.

Reach Accounting is an Australian owned and operated business, and as the owner of an Australian owned and operated business, I like to support other Australians in their business ventures. Reach Accounting focus their accounting software towards people who start a business as a website designer.

Why it’s harder for Aussie businesses to compete

I’m always saddened when I hear of Australian businesses being sold to overseas conglomerates, which take the Aussie jobs back overseas with them, where the wages and materials are cheaper. It makes it all the more difficult to compete for customers in the Australian marketplace when your once-Australian competitor is now producing products or services at a much lower price at their offshore headquarters.

It’s also difficult to compete with the increasing number of overseas-owned businesses entering the fray, now that the Internet has unlocked a global marketplace. What many Australian businesses don’t realise, however, is that they possess a power those overseas businesses don’t: they speak Aussie.

Whether you’re a home-based bookkeeper or virtual assistant, one of your greatest assets is that you’re an Australian and that means you have a deep understanding of what it means to be Australian – from the accent to the vernacular, you get it.

The power of ‘G’day’

It’s also a lot easier to call an Australian company than it is to call an overseas one. My Zoho Books-using contractor was telling me of a complex situation she was experiencing with her account. Unfortunately, the nearest customer service office she could call was located in China, so she had to email.

Several confused emails later, she finally realised what had happened with her account, and managed to resolve the issue herself. She later told me: “It’s a good thing I studied semiotics at university, because deciphering those emails was like trying to interpret hieroglyphics.”

I suddenly thought about Reach Accounting, which is based in the Inner Sydney suburb of Ultimo. For the same price as Zoho Books – possibly even cheaper now, thanks to the fluctuating Aussie dollar – it would have been much easier to say “G’day” to one of the guys at Reach than it was to email China or India or Japan or wherever in the world Zoho’s customer service offices are based.

Don’t be afraid to say “G’day”

As an Australian business, don’t hide your Australianness from view. Wear it proudly, because it makes a big difference to customers trying to decide between your company and the multinational after their business.

As smart devices and cloud-based apps have become more popular, I’ve started to see more and more tradies using their iPhones and iPads to handle their paperwork, a task traditionally left to the wee hours of the evening – or to their wives and partners!

Now, with cloud-based accounting software like Xero and a number of other great mobile apps, tradies can quote, invoice, and even take payments for work right from their smart phones and tablet devices.

Streamlined business processes with cloud accounting

I met Ken Burrows from Love My Home Theatre, a home theatre installation, TV installation and plasma wall mounting business based in Sydney recently, when he was installing a new home theatre system for some friends, and I was taken with how streamlined his entire business processes were.

Everything – from the quote through to payment – is performed entirely online, using a couple of different apps, including Xero which is used to maintain the business’s accounts. In the video you can Watch Ken talk about how he uses cloud-based apps in his business to streamline his business processes, and make him more efficient and I think it helps 1 business owner do the work of more than 1 person – perhaps he can use more people in marketing..

Is Credit the Best Way?

About 20 years ago, the only way businesses could make payments easily was to apply for a credit card from a bank. The bank would then give you an amount of credit, $5000 say, and the more you used it, the more credit you would be offered.

This is great if you have the means to pay it back immediately – and if you do actually pay it back immediately. However, if you’re like most people, having access to large sums of money that can be paid back at a later date – in 30 days, 55 days, 3 months – can lead down a dangerous path for your small business.

Start-Up Finance

We spoke to one entrepreneur who had an idea to start a gourmet packaged meals business aimed at a demographic of busy professionals. He had planned to go the conventional route and borrow $200K to finance his start-up; even though at this point, he didn’t have a single customer.

But there were plenty of other options available to get his business off the ground, rather than getting into debt before he even had his first customer. We suggested using another company’s equipment, contracting the manufacture of the products to another company, or re-branding an already existing product.

The term used in the start-up community for using your own money is called bootstrapping. But it’s one way to guarantee that you will do all the research and determine the most cost efficient way to run your business before outlaying substantial sums of money on equipment or other overheads.

Perhaps to some it sounds a little pessimistic to talk about having an exit strategy for a business you haven’t yet started, however, an exit strategy is actually a very wise move. We talk all about the things you need to consider when starting a business in our Small Business Management Course, but of equal importance is how you’ll end the business, which is something you need to consider when writing your Business Plan.

How Will You End It All?

Knowing how you’ll exit your business when the time comes will determine a framework for how you’ll set up your business up in the first place. This could involve creating a name for your business, rather than using your own name, so that you can sell your business later without having to relinquish your right to use your own name.

Exit strategies have never been more important than they are today when it’s not uncommon for a start-up to be sold maybe two or three years after its inception. Take Flickr, the image hosting website, as an example of case in point; it was only 18 months old when it was sold to Yahoo! for $30 million in 2005.

Three Key Reasons to Have an Exit Strategy

We spoke to our network of fellow entrepreneurs and business owners recently, and they gave us three reasons every business should have an exit strategy.

1.    It gives you a roadmap: Mark Darling of Sip Water says: “Begin with the end in mind.” Operating a business without an exit strategy is like going on a road trip without taking a map. “How are you going to get there if you don’t know where there is?” The smaller things tend to fall into place much more easily when the bigger things have been decided.

2.    It’s motivating: “When you’re working towards a specific goal, it really helps you to stay motivated on those days when everything seems to be going wrong,” says Vic Cherikoff of Australian Functional Foods. Your exit strategy helps you to put certain problems in perspective.

3.   Get the best sale price: “Knowing when and how you will sell your business can help you think about what you need to do to maximise your business’s value,” explains Robert Crane of CIA OPS. Without an exit strategy, you may find yourself accepting fire sale prices just because you want to exit your business quickly. Having an exit strategy helps you avoid this.

Having an exit strategy is just as important as having a start-up strategy. But that doesn’t mean you have to follow it down to the letter. Like most things in life, often the best-laid plans don’t actually go to plan, but having a framework to work off will help to make your business more successful and ultimately, more profitable in the long run.

Choosing a business name that is Google-friendly is important.

Our Small Business Management Course teaches students everything they will need to successfully start and operate their own small business, which includes how to write a business plan. Throughout the duration of the course and particularly, when it comes to writing your business plan, you’ll need to think about what you’ll name your business. So what does make a good business name?

What’s In a Name?

For this post, we spoke to a business owner whose business has a rather distinctive name: CIA OPS’s Principal, Robert Crane. CIA — or Computer Information Agency — OPS is a Sydney-based technology consultancy firm, which focuses on assisting businesses and individuals improve their productivity using technology and smart business practices.

The name CIA OPS perfectly encapsulates everything Robert’s business does — provide his clients with information about computer-related technology, such as how to streamline a business’s processes for use with cloud-based software or training in Microsoft Office 365 — but at the same time, it’s also a conversation piece.

“Everyone’s heard of the CIA, as in the USA’s Central Intelligence Agency,” Robert says. “So when they hear CIA OPS, they immediately ask me more about my business and what we do.”

Interesting – and Easy to Remember

But because the name CIA OPS has already aroused people’s curiosity, they’re more engaged and interested in what Robert has to say. The fact CIA OPS is also easy to remember is another added bonus.

“Even if they forget the ‘OPS’ part,” Robert says, “They always remember the ‘CIA’ part and the fact we work with computers, which makes it really easy for them to find me Google.”

Is it Google-Friendly?

Which brings us to another important consideration you need to make when it comes to thinking of a business name. Thinking of something quirky and interesting which also represents what your business does is one thing, but ensuring it’s Google-friendly is another altogether.

Google has, in many ways, fundamentally changed the way we do business — and as a result, it has changed the way people select their business name, too.

If your business name is too obscure that it becomes too hard to remember, then it won’t work; if it’s too common that it returns hundreds upon hundreds of Google results, it won’t work, either; if it’s too long, too short, too boring — won’t work, won’t work, won’t work.

“You really need to think about what you’ll call your business, because that is one thing that’s hard to go back and change later,” Robert says. Make sure you check to see if the business name you’re thinking of using is being used already, or is too similar to someone else’s — which could land you in hot water, as you will lean in the intellectual property and general law module of our Small Business Management Course.

Robert’s advice: “Avoid names that include the words ‘solutions’ or ‘networking’ — they’re boring, too common, and pretty obvious — you know, all businesses hope to provide some sort of solution, for instance.

“Be original, give your business name some real thought, and test it out on your friends and family first,” Robert advises.

Being that your business name is so important, we recommend that our small business management students start thinking about potential names as soon as they start the course, so than when it comes time to finishing their business plan, they’ll have something in mind.
