Mark Zuckerberg is proof that you can be highly successful even if you didn’t learn well at school. One-to-one learning tends to engage people better as you can customise your training more to what interests them.

THERE’S A COMMON MISCONCEPTION that, to be smart or successful, you had to do well at school.

But, in fact, there are scores of people who didn’t do well at school (usually because they weren’t engaged or interested in what they were learning), but who have gone on to become highly successful nonetheless.

Mark Zuckerberg is one of the most famous examples of recent years. (Zuckerberg’s failure to graduate has achieved such mythical status that his sister, Randi, often jokingly introduces herself as a Harvard Graduate, before acknowledging that, yes, she’s the sister of that Zuckerberg.)

I worked with a 16 year-old recently, who had an excellent aptitude for computers that weren’t being developed at school. As a consequence, his grades were suffering. I wanted to help him start a business of his own that he could grow and develop successfully, rather than see him end up in dead-end, low paid jobs.

Students learn more when they’re interested

We combined his love of computers with one of his other interests — skateboarding — to start a skateboard business. Because he was engaged and interested in what we were doing, he excelled. In fact, he was so enthusiastic that he often he put in more time than originally allocated, and completed tasks in his own time.

As a trainer, you’ll find that these students make the best clients. They look forward to your sessions, they’re engaged with the content, so they have better recall, and they’re eager to learn — more and more, which is always good for business.

Engaged business owners are more successful too

People who are interested by and enjoy what they do for a living are more successful as well. There are lots of mums and dads who give up work or work part time while they’re raising kids, but often they end up doing work they don’t enjoy very much because it’s all that was available.

Are People Willing to Pay For One-to-One Training?

Why Business People Need a Bookkeeping Trainer

IN ONE-TO-ONE training sessions, your job, as the trainer, is to help your client (the student) achieve their individual goals. This is very different to classroom or group training, where the purpose is to get students through the prescribed course content in the prescribed time.

Now that it’s well-known that nearly every person learns at a different pace to the person sitting next to them, online training has become popular because it allows an individual to learn at their own pace, rather than trying to keep up with the rest of the class.

Online vs. one-to-one training

Online and one-to-one training are similar in many ways. They both allow students to learn at their own pace, to pick and choose which modules they start and end with, and to practice until they feel confident that they’ve learned the content thoroughly.

But one-to-one training provides students with something online training can’t: guidance from an expert. This is important for some people who don’t feel comfortable learning on their own, or who need the added motivation of having a trainer with them.

People will pay for the benefits

For businesses, they can get paid faster if their bookkeeper has received in-depth training in MYOB, QuickBooks or Xero; they may win more tenders and save time working on them if their staff have advanced Word skills; have better reporting because their staff have advanced Excel skills; or save hundreds by increasing their productivity through their staff’s use of apps like Google G Suite.

The question for trainers is whether they can make it worthwhile printing out workbooks, driving to their client, finding parking, and spending their time training students in-person.

Some students will only require guidance on certain modules or at certain points during their training. For instance, most people need help getting started with MYOB, but only require help during the advanced modules of Excel. That has a lot to do with each individual person’s soft skills, and experience with the software package in question. (Most people are already very familiar with Excel, for example, but have almost no knowledge of MYOB until they start learning.)

Don’t Forget: You Can Still Deduct 20k In Asset Purchases till 30 June

asset deduction bookkeeping business online study training course videosTAX TIME IS NIGH and it might be a good time to think about whether there are any assets your business may need, and try to get them in before June 30 rolls around. Whether it’s new computers, tablets, office furniture, a new car — as long as each item costs less than $20,000, you can deduct it immediately, rather than depreciating it over time, as was the previous method for assets over $1,000 in value (depreciation still applies for asset purchases above $20,000) — but only until and including 30 June 2018.

The small business tax breaks were introduced by the Abbott-Hockey government, but having already been extended, they will cease on 30 June 2018. Following this date, any big ticket assets for your business (and of course there are some exceptions) can be used to reduce your taxable income immediately.

Pick an asset, any asset…

There are a lot of items you can deduct, with the exception of some small items, such as horticultural plants, software that’s allocated to a software development pool and some capital works, which have special depreciation rules. If you’re not sure of what you can claim, it’s wise to ask your account or financial adviser first, particularly if you have a penchant for horticultural plants (perhaps try artificial ones?), otherwise make sure to keep your receipts!

After 1 July 2018, the asset threshold will reduce back to $1,000. After then, any asset purchase you make that’s greater than $1,000 will have to be depreciated, using the traditional methods of depreciation, which you can read about in this blog post.

Australia is a services nation

While you’re thinking about starting a business, don’t forget to consider starting a business within the leading four service groups, identified by Australia’s Chief Economist Mark Cully:

  • Professional and support services
  • Information and communications technology (ICT) and the digital economy
  • Trade, transport and logistic services
  • Utilities services

Professional and support services, in particular, is currently experiencing a phase of high growth, largely because starting a business in this sector is both low risk and cost. Most businesses operating within the professional and support services sector are home-based, providing vital services to other businesses located across Australia and, sometimes, the world.

Amazon is Here, But How Do You Get Traffic?

Can you make real money by selling stuff on Amazon?

If you can sell anything with a margin in it for yourself, you might make some dough by selling on Amazon.

NOW THAT AMAZON has launched in Australia, one of the hottest work-at-home opportunities is to become an Amazon seller, especially if you become part of the “fulfillment by Amazon (FBA) program”, which is due to launch in Australia in 2018, along with Amazon’s “fresh” program.

We have helped hundreds of bookkeepers to find work and launch into business for themselves, and so we wanted to investigate some of the pros and cons of venturing into business selling products on Amazon.

In the FBA program, there are no upfront costs, and sellers don’t hold any stock or have to worry about shipping products to customers — they just have to find items to sell on Amazon.

How the FBA program works

Amazon collects products from sellers and stores them at their fulfillment centres (currently, just one centre based outside Melbourne, with another planned for Sydney). When a product is sold, Amazon ships it to the customer.

Amazon fees and charges are subtracted from the sale (sellers only pay Amazon to collect items and bring them to the fulfilment centre, not to ship to customers) and the remainder is deposited into an escrow account for a few weeks before it’s released to the seller.

Amazon vs. eBay

The Amazon FBA program is unlike any offering on rival marketplaces. Besides, not dealing with the logistical side of selling products online, Amazon sellers don’t create product listings and don’t deal with customers in any way.

By contrast, people who sell items on eBay are not just responsible for holding their own stock and shipping it to customers, but they also deal with customers every step of the way — from questions about the product through to shipping and disputes. It’s a time consuming process.

It’s similarly time consuming for buyers, who have to navigate a minefield of listings and seller pages; checking prices, shipping and seller ratings to make sure they’re getting the best deal. On Amazon, you search a product, click on the listing, and decide to buy. It’s as though you’re buying directly from Amazon.

Will the Amazon model work in Australia?

Amazon’s FBA program (and its marketplace in general) has been extremely successful in the United States (Amazon’s share price is trading above $1,100 U.S., after all), but the U.S. is a huge and very different country to ours. Each state has different sales taxes; prices for simple household items like toothpaste can vary state-to-state, and there are hundreds of large- to -medium department stores that operate in some states, but not in others.

The Australian market is far more homogenous. We have one national sales tax (GST), prices are fairly uniform across each state and territory, we have a half dozen department stores, and they operate nationally; we’re also a much smaller market.

Since Amazon’s launch in December (it’s FBA program hasn’t launched yet, though there are plans to), most shoppers reported being underwhelmed by the offering — it was limited, expensive, and shipping times too long. Items were often more expensive on Amazon than to purchase elsewhere. This could just be teething issues, due to the rushed launch, but it could be illustrative of how the Australian retail market had prepared for Amazon’s impending launch by tightening up their own offerings, and making it a lot harder for Amazon sellers to compete.

People go to Amazon to find items they’d traditionally find at a department store, only much cheaper. That’s Amazon’s game: cheap. If you’re going to sell goods on Amazon and be successful at it, you need to be really good at procuring items that are in high demand, but can be sold far cheaper than anywhere else.

Amazon is the place you go to for books, music, DVDs, household appliances, shoes, clothing, toys, and so on. It’s not the place for unique one-offs — you want that; go to Etsy. Or if you want it secondhand, then eBay, Facebook Marketplace or good old Gumtree. On Amazon, you sell anything, whether you have a personal interest in it or not; if there’s a margin that’s favourable, sell it.

Most people who sell on Amazon in the U.S. make money by engaging in retail arbitrage (an Amazon app lets sellers can scan the barcodes of items in retail shops to see whether it’s worthwhile reselling them on Amazon), but this would be hard to replicate in Australia.

Retail stores in Australia have higher prices due to the cost of employing staff. We have a national minimum wage remember, and the U.S. does not. In some U.S. states, the minimum wage is as low as $6 an hour, while others may be as much as $12 an hour. In California, where people earn $12 an hour, goods in shops cost more than in a state where people earn $6 an hour. This presents an opportunity for Amazon FBA sellers in the U.S. that is unlikely to ever exist in Australia.

How do you make money?

There are lots of online training courses promising to train you in the ways of Amazon’s FBA program. Some even promise to help you find inventory that’ll always be profitable — typically private label items, rather than via retail arbitrage — and teach you the dark arts of Amazon promotion — so you’re one of the top sellers on the site. (This has nothing to do with seller ratings, which don’t exist on Amazon.)

Starting out with private label items can be dicey, and it’s probably only a good idea if you’re already selling your own items on eBay, but you’re looking for an easier alternative. Again, Amazon is a good place to sell books, video games, clothing, toys, etc; handmade jewellery, clothing or furnishings: not so much.

Remember: retail has its ups and downs. As a seller on Amazon, you’ll experience that too. If you’re looking for a stable income each week or fortnight, you might find yourself better off starting a professional services business, in which you work for regular clients each week for a regular earn — and even keep doing your full-time job, or take on a part-time job until things take off.

When It’s Good to Offer Free Bookkeeping Help

No one should expect you to do work for free, but spending time getting to know your clients will help distinguish you from a bar of soap!

IT’S NEVER REALLY a good idea to work for new client or potential new clients for free, particularly if you’re an established business. But it’s also difficult getting a client to feel comfortable that you’ll do a good job for them, when they don’t know you from the proverbial bar of soap.

Rather than working for free or charging less than the minimum wage for your bookkeeping services a better idea is to spend some time with your client, either in-person or over the phone, to go through your processes and procedures before you commence work for them. It’s also important that you make your clients aware of value adds you’re providing to them.

Schedule a consultation with prospects

If you take the lead and schedule a an initial consultation call or meeting with your new clients or prospects, you get to control how the working relationship progresses. This gives you the opportunity to set some ground rules around the assignment of work, turn around times, payment terms, and so on. 

Aside from making you look professional and organised, it’ll also make your job easier because you’ve clearly outlined how you operate, what’s expected from the client in order for you to do your job, and what happens after you’ve finished your work.

For example, is BAS lodgement included in your fees, or is that additional? Do you follow up late payers on your client’s behalf or is that additional?

Do some needs analysis

It’s a good idea to look at how much knowledge your new clients have of bookkeeping and the software you’ll be using (Xero, MYOB, QuickBooks, etc). Carry out some quick needs analysis during your consultation, so that if there are any areas they are unfamiliar with you’re both prepared and able to give them a quick overview. Further, in-depth training is a potential source of additional revenue, so be careful not to spend too much time here. All of this will help you form your bookkeeping business strategy and, in particular, ensure your rates are competitive, yet sustainable.

MYOB Launches Single Touch Payroll Trial Product

What Does Employer Recognised Mean?

Going beyond merely training and helping you to establish your career

THERE ARE A NUMBER OF industry associations that BAS agents (and aspiring BAS agents) can choose to join. However, as a BAS agent you are not compelled to join an industry association unless you really want to — it’s totally up to you. If you’ve been looking around and comparing the different industry associations you can join, you may have seen the term “recognised employer” or “employer recognised.”

A “recognised employer” is an organisation that’s partnered with an industry association and made a commitment to the professional development of their employees. The CPA, for example, says on its website that becoming a recognised employer will help firms attract top talent and provide training to their staff.

A mutually beneficial relationship

Organisations partner with industry associations to become recognised employers because it gives them access to the association’s members, the majority of which are often looking for work.

In turn, the organisation is attractive to members because it has the association’s endorsement. And the industry association usually gives its recognised employer partners access to discounted training for their staff.

Employer recognised

Because of this relationship between organisations and industry associations, members will often hear or see the term “employer recognised” used by their industry association. It’s basically the inverse of “recognised employer,” and it’s not unique to industry associations.

Catch Up or You’ll Need Rescue Bookkeeping

Is the approach of the end of the third quarter stressing you out?

rescue bookkeeping work learn bookkeeping online training course videosIF THE NEED to lodge another Business Activity Statement soon is already stressing you out (or indeed, if you haven’t even considered it yet — or more to the point, you haven’t for the past 6 months!!) then maybe some rescue bookkeeping for your business is on the cards.

We’ve written before about rescue bookkeeping; which is a service for businesses that are more than three months behind, and which may have an overdue business activity statement (BAS) — or maybe two.

And this is not about shaming or pointing the finger. Getting behind in your bookkeeping happens to some of the best businesses. It can be because an inexperienced person has previously been handling the books; you didn’t have the right systems in place to keep on top of it; or maybe your data file was set up incorrectly.

Diagnosing rescue bookkeeping

If your business has any of the following issues, you probably need rescue bookkeeping:

  • Your bank balance in Xero or MYOB doesn’t match with your bank statements
  • Bills have been paid, but they’re still showing as outstanding
  • Your employees’ payslips and super are incorrect
  • You don’t know who owes money.

Rescue bookkeeping is time consuming

There are many different reasons why people get behind in their bookkeeping. If it’s because the business owner lacks the time and let their bookkeeping pile up, it’s usually easy rectify, though it is time consuming. (There’ll be months and months worth of transactions and receipts to code and keep records of.)

If their data file was set up incorrectly, it’s sometimes a little harder to diagnose and it’s even harder to fix. It’ll need to be set up again and all of your transaction data re-entered; again, there’ll be months and months worth of transactions and receipts.

What happens during a bookkeeping rescue?

When you first meet with a bookkeeper, they’ll review your records to determine what your problem might be, and what needs to be done to get your bookkeeping up-to-date and in shape.

Given the volume of work and the complexity of it, your bookkeeper might not be able to tell you exactly how long it will take to get your accounts under control. They’ll generally have a ballpark idea of how long, but nothing concrete.

When your bookkeeper starts working on your accounts, they’ll be in fairly regular contact. You’ll need to be available to respond to emails or phone calls during this time.

Catch up or hire a professional

If you’re struggling to keep up with your bookkeeping, it’s wise to hire a professional. A contract bookkeeper, registered BAS agent or finance manager will get your bookkeeping under control. And if you retain them on a regular basis, you can avoid the costly need for rescue bookkeeping.

Sometimes “Real World” Marketing, Not Digital, is More Appropriate

It’s not unusual to obtain new work because people in need of your services spot you working on your current job. But chance is one thing – how can you improve the odds of making this happen?

IF YOU’RE A TRADIE, working as a plumber, builder or carpenter, handyman, gardener or electrician, then you probably already know that some of the best jobs come by referral.

Identify “real world” marketing opportunities

During my recent renovation of an investment property in Newcastle, most of the good tradies would tell me, “Someone you’re working on a job with on Monday will ask you to do a job for them somewhere else on Friday, or a neighbour of a client will ask you to do some work for them.” I soon saw from other tradespeople how “work can come to you just because someone happens to be walking by while you’re on the job” — gardeners get a lot of work this way, for example.

The important thing in this scenario is to act efficiently in finding out what the potential client needs, finding out what else is important, and then selling them on your services. I recently had the pleasure of interviewing Kristine Seymour, an experienced sales person and business builder, for the Sales Training Course at the Australian Small Business Centre (ASBC). Is Your Day Rate a Marketing or Business Strategy?

Painting a house renovation of investment property in NewcastleI RECENTLY MET A PAINTER during a residential renovation I was involved with in Newcastle (an extremely valuable experience that will help us add to our property investment courses.)

We got talking about how he wins new clients and he said:

I advertise on social media that I’m available for $150 a day because no one can compete with it.

The price he chose is insanely cheap, and he knew other painters wouldn’t be able to compete with this as a day rate. However, there are downsides to this. Such a cheap day rate also means that he’ll be stretched financially and that he won’t be able to hire anyone else to do the work. He’ll need to be paid daily and likely can’t afford to provide any sort of credit (like 7 day terms etc).

It made me wonder whether it was such a good idea because cheap prices is a volume game. Companies like Amazon and Kmart are willing to lower their profit margins to undercut other retailers if it means they make up for it in the volume of product their shift.

In other words, rather than make $20 profit on an item, and only selling 200, they’re willing to make $5 as long as they sell 100, minimum. Otherwise, it’s just a bad business strategy. You may want to read more about blue ocean versus red ocean strategies.

Is trades and services ever a volume game?

Mark, the painter I was talking about, received lots of enquiries. In that respect, his social media campaign had been a success! But Mark wasn’t a big company; he was a one man band. Now he spent most of his days driving around and quoting for jobs.

This meant that when he was working for clients, there were often days where he could only work a half day or had to break the day rate down into an hourly one. Some days, Mark only earned $100. This was simply because he wasn’t doing the number of jobs he needed to in order to make his low day rate a profitable strategy for his business.

Focus on your business strategy first

He’d generated lot of interest in his business by advertising his services at such a low day rate, but by not setting any terms or conditions around that rate, it makes it really hard to Mark to increase his rates next time those clients ask him to work for them again.

Best to use your Accountant’s Bookkeeper or hire a junior to save money?

What’s Your Bookkeeper Preference?

Recently, I wrote that a lot of bookkeepers are losing out to accountants because business owners prefer the cheapest and easiest way to stay compliant. Rather than employing a bookkeeper AND an accountant to lodge their tax returns and activity statements, many business owners choose to hire an accountant only so they can deal with just one person but are they really getting value for money? When it comes to finding a good bookkeeper at this skill level business owners have the choice of hiring: 

  • Registered BAS Agents,
  • Their accountant’s internal bookkeeper,
  • An external, independent finance manager

Many good bookkeepers these days have trained as qualified BAS agents, which allows them to complete and lodge activity statements for their clients and other BAS services. The skill sets of a BAS agent and an accountant performing BAS tasks are the same, so they usually charge the same, but does your accountant really do your BAS or basic bookkeeping work?

Accountants perform higher level duties, such as financial planning, and their fees for this service are inline with what some experienced finance managers charge but when it comes to basic bookkeeping tasks they often hire a junior bookkeeper and charge them out at a lower rate but this rate is often much higher than if you hired this type of bookkeeper directory – so what are you paying for?

Pay for what you need, not what you don’t

But hiring one means that you’ll need to stay on top of your bookkeeping (reconciling your account, etc) because accountants won’t perform these tasks — they may outsource it, which can be costly because your accountant will be managing the bookkeeper and adding a margin to their rate as a management cost.

These businesses should instead hire a BAS agent, who can also perform bookkeeping work as well as lodge activity statements and in this situation they could just use a tax agent like ITP or H&R Block. Depending on the amount of work to be completed you could directly hire a junior or Level 2 bookkeeper and have that person perform a lot more of the bookkeeping function and office administration work and with cloud-based software like Xero & QuickBooks and Office productivity tools like Google G Suite the work can be done remotely.

If you want someone to manage all of your finances — keep track of inventory, credit management, etc — and also provide financial reporting and planning services, a finance manager is the way to go as this person can also provide guidance to your office admin and junior bookkeeping staff.

Accounting Software or ERP System?

Are you BIG enough yet?

I’VE BEEN IN BUSINESS since my early twenties but it wasn’t until my late twenties that I had any clue about how larger companies use and pay for software. I was going through the process of selling a water filter business that I’d been operating in Sydney’s Dee Why when I had the pleasure of meeting the owner of Fountainhead Water Company, Mark Darling.

Fountainhead used a specialised accounting system for the bottled water business which did everything from receipts for each delivery to capturing bottle deposits, tracking rental coolers and more — and they were paying hundreds of dollars per month for this software. It was a far cry from purchasing the MYOB software for a couple hundred dollars and NEVER upgrading (no payroll at the time).

Now I understand the importance of Enterprise Resource Planning (ERP) systems and how they are almost sewn into the fabric of the procedures for medium to large businesses. I was contacted by someone at Sage, asking if EzyLearn had ever thought about offering training in Sage One, their software for their smaller clients. I replied by saying: “Yes, but what is the demand?” I never heard back from this person (might be a good tactic for you if you get too many cold calls!)

Getting Setup Using an ERP System

This Sage person piqued my interest so I did a bit of research.

I soon realised that these ERP systems are sold almost exclusively through ‘integrators’ or channel partners who visit your business and really get into the nitty and gritty of the procedures and processes.

They perform their analysis and then set about a plan to implement the new software in the business using deft project management and people skills to CHANGE the way the business works.

These ERP system integrators get very involved in the operations of these larger companies and they get to see the BIG mistakes that small businesses make when dealing with them and know how easy these problems are to fix.

One such person is Carmel Crane, Finance Manager and ERP Specialist at National Bookkeeping, with specialist knowledge of midsize businesses in the mining and related industries. Carmel points out that tier one ERPs, such as SAP, JDE and Oracle are “large, expensive and all-encompassing software systems that tend to be implemented by large, multi-currency organisations.”

In a way, even small business software programs like MYOB, Xero, QuickBooks are ERPs but no one really uses that term and the process of getting set up is often much less formal and done by a high-level bookkeeper like a Finance Manager or accountant. 

The most interesting aspect of my research was when I came to the site of Leverage Technologies and found their sign up form for Sage One. I thought back to those days of working with Mark Darling, but more importantly, how true ERP systems don’t just do invoicing and payments but manage:

  • job costing
  • distribution
  • e-commerce — and even —
  • CRM.

These are services that “integrate” with software like Xero and Quickbooks.

What are tier one and two ERPs?

When you start delving deeper into ERP’s you realise there are different tiers of software which depend on the size of the company using them. Tier one ERPs are relatively inexpensive but fairly flexible applications that enable small businesses to manage their accounting and operational needs. But larger midsize businesses will have different needs that will exceed the capabilities of a tier three software like MYOB or Xero.

“Tier two is aimed at mid- to -large companies — I have a lot of mining companies in this space,” she tells EzyLearn, “and would include [software such as] Pronto, Sage and Green Trees.”

How to know if you need a tier one or two ERP? 

Any midsize business — so if you’re running a mining company, a substantial wholesale business or manufacturing or retail business — would need to work with at least a tier two ERP. And for the implementation of a tier two ERP like Sage or Pronto, Carmel strongly suggests engaging the services of an ERP specialist rather than just seeking input from the ERP company. 

“An ERP specialist understands the relationship between the modules,” Carmel says. “They can direct you in how purchasing will affect inventory and how plant maintenance will affect asset values — there is a holistic view of transactions.”

Selecting the right ERP for your business

Just as small businesses would select a tier three ERP based on their requirements and the cost of the system, businesses selecting a tier one or two ERP do the same.

“The software is selected based on requirements, scope and cost,” Carmel notes. “Coca Cola are likely to run SAP or JDE, whereas a local operation with branches across Australia is more likely to go with Pronto or Sage.”

But she adds: “That said, just to contradict myself, I spoke with a company last week that had received an implementation quote from JDE for $1.8 million, and when I asked Pronto for the same requirements, they came back with a ballpark of $1.6 million. However, the quotes were for 30 licenses; most mid-range businesses will only use 10-15 licenses, so it would cost less.”

How Bookkeepers Can STOP Losing Out to Accountants

A lot of that is to do with the Government not distinguishing between a small business with upwards of 20 staff, and a micro business which may have 5 or fewer staff — sometimes even no staff.

All of this compliance — bookkeeping, activity statements, payroll, superannuation, and so on — is costly and time consuming, so most business owners outsource this work to a professional contractor. Before the Government changed the tax laws, it was bookkeepers who small or micro business turned to.

Prior to 2010, a bookkeeper could complete and lodge your BAS and tax returns without needing any formal qualifications — that’s since changed.

Accountants kill two birds with one stone

Even though few small or micro businesses actually need the services a financial accountant provides — financial planning, say — a lot of tax accountants are picking up clients that would have, prior to the law change, gone to a bookkeeper, and it’s usually because they are scared of getting something wrong and then getting slapped on the wrist about it. 

Small businesses (SME’s) want the cheapest and easiest way to stay compliant, and dealing with one person is easier than dealing with multiple people, especially if there are any issues with how one person has worked, and the business owner winds up stuck in the middle.

If a business is large enough, a Finance Manager can be employed to systemise the work and then manage the low cost junior bookkeeper, and the accountant and provide the business owner with the results and reports they need and want.

Junior bookkeepers can win business they’d normally lose to an accountant by becoming a qualified BAS agent, or going to work for an accountant where they’re allowed to perform all of the bookkeeping and BAS work because they’re being “supervised” by an accountant.

Finding the middle ground

The middle ground for people who want to start their own bookkeeping business and become a contract bookkeeper is often to perform bookkeeping tasks that involve more than just data entry, but less than the tasks covered under the tax act as a BAS Service, like credit management. It’s also important to be emotionally intelligent.

This involves data entry and accessing customer information but also communicating with late payers, difficult customers and problem solving for complex sales transactions. This work requires a bit more bookkeeping experience AND life experience and it’s very important to the financial health of the business.

Why you should employ a bookkeeper to help manage the books

If you’re a small business owner, it shouldn’t be taking you an inordinate amount of time to keep your bookkeeping orderly and up to date. If it is, perhaps now is the time to get help.

PERHAPS YOU ARE a small business owner who is trying hard to keep up to speed with your regulatory bookkeeping requirements. But no sooner does one quarter end and another one seems to roll by with the commensurate paperwork due all over again. This is taking away from your regular work and you’re falling behind — and half the time you’re not even sure that it’s being done correctly. It sounds like you should be seriously considering finding a bookkeeper for your business.

Even if you have training in how to use Xero, MYOB or Quickbooks, or some other cloud accounting program, finding a great bookkeeper can make all the difference to your business. However, although there might seem to be plenty of “bookkeepers” around, finding the right one bookkeeper for your business is not an altogether easy thing to do. And if you’re financially challenged, you also need to find a bookkeeper who won’t break the bank.

Bookkeeper, accountant or tax professional?

These days, the term bookkeeper is almost an umbrella term for all the different types of accounting and tax professionals available to you, from basic data entry bookkeepers right through to specialised BAS and tax agents.

There are even some bookkeepers who are so knowledgeable in one particular accounting program that the software company has endorsed them as certified consultants or advisors, and some earn commission from accounting software companies, while there are others who aren’t beholden to any particular software company. We outline four steps you can take to narrow down the search.

Step One: What Kind of Bookkeeper Do You Need?

Think about your business and how it operates. Do you have lots of business purchases and transactions each week? Do you employ staff? Do you work in a specialised industry? Are you registered for GST? Do you require a bookkeeper to work onsite at your premises or can they work remotely?

Write down the needs of your business to help you determine the kind of financial help, and therefore, what kind of bookkeeper you need for your business.

Step Two: Research Local Bookkeepers in Your Area

Visit the websites of some local bookkeepers in your area, or search the National Bookkeeping Directory to find bookkeepers matching your requirements located near you. If you don’t require a bookkeeper to visit your premises, broaden your scope and research bookkeepers who can work remotely. Make a shortlist of potential bookkeepers.

Step Three: Check the TPB Register

BAS and tax agents are required, by law, to register with the Tax Practitioner’s Board (TPB), so if your business requires either a tax or BAS agent (or both), the TPB Register should be your first port of call to ensure the person who have in mind is currently registered to provide BAS or tax services.

Step Four: Interview Your Preferred Bookkeepers

During step two, you made a shortlist of potential bookkeepers, and, assuming your TPB search didn’t turn up anything to be wary of, you should now set about contacting each one to get to know more about the services they provide.

It’s a good idea to ask them how long they’ve been working as a bookkeeper for, the sorts of businesses they’ve worked with in the past, and any expectations they may have of you. You should also ask for a written quote for their services. This quote should form part of your professional services agreement.

FINDING THE RIGHT BOOKKEEPER for your business isn’t always easy, especially when there are different types of bookkeepers who each provide different services. That’s in addition to all the different certified consultants and advisors around. We’ve found that one of the best ways to ensure you’re hiring the right bookkeeper is to simply ask them for a quote.

Getting a bookkeeping quote

When it comes to getting a quote you can compare a bookkeeper to a builder. Just as you would get a quote from at least a couple of builders before hiring one of them to work for you, it’s a good idea to get a couple of different quotes from different bookkeepers. This helps you compare apples with apples.

But more than this: a bookkeeping quote should detail precisely what tasks the bookkeeper will carry out, the frequency at which they’ll be done, and any other hidden costs you may be up for, such as the cost to migrate your data from one accounting application to another.

Your professional services agreement

Getting a quote will also help form your professional services agreement. Simply obtain the required number of quotes and decide which bookkeeper you’ll hire for your business; then make sure that quote is turned into a professional services agreement (PSA).

A PSA is the written contract between you and your bookkeeper, outlining the tasks they’ll carry out and when, any other fees and charges, when you’ll pay them and how, plus any additional obligations on their part and yours. A professional services agreement is a safeguard for both you and the bookkeeper. It’s also another way to help ensure the bookkeeper will be the right fit for your business.
