I HAD THE PLEASURE of being invited to meet with some fabulous registered BAS agents at a recent function for VIP’s before this week’s QuickBooks Connect Conference in Sydney’s Intuit head office.

The VIP event included presentations from lots of App developers who provide Bookkeeping and Accounting Apps which integrate with QuickBooks Online (and also Xero and MYOB) as well as practice and workflow management systems like Practice Ignition and HubDoc which help bookkeeper’s assist their clients.

These BAS agents have been bookkeepers for decades, yet rather than sit on their past practices, they are constantly learning and improving their knowledge of software, systems and apps and talking to them about this new technology seemed very natural. This actually surprised me because I thought I was the only one who was right into this stuff — well, not the only one, but I can get very passionate about it! But I digress.

IT’S NEVER REALLY a good idea to work for new client or potential new clients for free, particularly if you’re an established business. But it’s also difficult getting a client to feel comfortable that you’ll do a good job for them, when they don’t know you from the proverbial bar of soap.

Rather than working for free or charging less than the minimum wage for your bookkeeping services a better idea is to spend some time with your client, either in-person or over the phone, to go through your processes and procedures before you commence work for them. It’s also important that you make your clients aware of value adds you’re providing to them.

Is the approach of the end of the third quarter stressing you out?

We’ve written before about rescue bookkeeping; which is a service for businesses that are more than three months behind, and which may have an overdue business activity statement (BAS) — or maybe two.

And this is not about shaming or pointing the finger. Getting behind in your bookkeeping happens to some of the best businesses. It can be because an inexperienced person has previously been handling the books; you didn’t have the right systems in place to keep on top of it; or maybe your data file was set up incorrectly.

Diagnosing rescue bookkeeping

If your business has any of the following issues, you probably need rescue bookkeeping:

  • Your bank balance in Xero or MYOB doesn’t match with your bank statements
  • Bills have been paid, but they’re still showing as outstanding
  • Your employees’ payslips and super are incorrect
  • You don’t know who owes money.

Rescue bookkeeping is time consuming

There are many different reasons why people get behind in their bookkeeping. If it’s because the business owner lacks the time and let their bookkeeping pile up, it’s usually easy rectify, though it is time consuming. (There’ll be months and months worth of transactions and receipts to code and keep records of.)

If their data file was set up incorrectly, it’s sometimes a little harder to diagnose and it’s even harder to fix. It’ll need to be set up again and all of your transaction data re-entered; again, there’ll be months and months worth of transactions and receipts.

What happens during a bookkeeping rescue?

When you first meet with a bookkeeper, they’ll review your records to determine what your problem might be, and what needs to be done to get your bookkeeping up-to-date and in shape.

Given the volume of work and the complexity of it, your bookkeeper might not be able to tell you exactly how long it will take to get your accounts under control. They’ll generally have a ballpark idea of how long, but nothing concrete.

When your bookkeeper starts working on your accounts, they’ll be in fairly regular contact. You’ll need to be available to respond to emails or phone calls during this time.

Catch up or hire a professional

If you’re struggling to keep up with your bookkeeping, it’s wise to hire a professional. A contract bookkeeper, registered BAS agent or finance manager will get your bookkeeping under control. And if you retain them on a regular basis, you can avoid the costly need for rescue bookkeeping.

I recommend WordPress (and our online courses) over MYOB Atlas website builder any dayEvery business needs a web presence, and it’s become a lot cheaper and easier to get one. Where it once could cost many thousands of dollars to have a web designer get your business online, you can now build your own website yourself, quite cheaply.

That’s due to the number of cheap open-source content management systems that have come the market, like WordPress (by far, the market leader), then there is Wix, Squarespace, and even Google Sites (part of Google’s G Suite productivity apps for business). Our online WordPress Training Courses include the basic creating and editing of website pages and blogs posts to more advanced features only available to WordPress Site Admins. 

You might find it interesting that MYOB offers a website service and it makes me wonder whether MYOB has the single focus on building the best accounting software for small business or jumping into any and every new technology it can to see which one sticks.

MYOB is also into websites

About five years ago, MYOB, in partnership with Google, launched a website creation tool called Atlas as part of an initiative called “Getting Business Online.” Atlas enables MYOB customers to create a business website, get a domain name, connect an e-commerce site, and social media platforms for $30 a month.

Because they’ve partnered with Google, the sites promise to “rank well on Google search,” but there’s no flexibility to manage your SEO or integrate with any SEO tools. In fact, for your $30 a month, you don’t get much flexibility at all — not in the choice of themes (they’re limited), adding corporate branding, to connect email marketing services, template changes, and so on.

MYOB wants to be the ERP platform for small business

Back when the internet was still fairly new, MYOB used to have a partner program in place with hosting companies to help their clients run multi-user programs in the cloud. When MYOB realised they could be earning that money themselves, they shut the program down and did what they have often done — disregarded their partners and their businesses completely. 

MYOB have gained a bit of a reputation for this sort of thing — starting up, and then abandoning, partner programs. Over the years, perhaps due to the complexity of their software, they’ve tried to establish themselves as the enterprise reporting planning (ERP) software of choice for mid-size businesses, but they’ve struggled with already established specialist brands. The MYOB Atlas website creation tool is another example of just that.

The cloud, focus and commitment

 With established platforms like WordPress, which is easy and cheap to use, and highly customisable, this might just be another missed opportunity for MYOB. These website design platforms are built around the concept of open source software and WordPress is surrounded by thousands of theme and plugin developers which provide the integration for some pretty advanced features in an easy to use interface. We made the change to WordPress after going with a Site Builder program which ended up closing down and no longer being supported – it’s a huge waste of energy and resources when you have to start all over again!

Unlike MYOB, Xero realised early that online software is about being a specialist in a given field, so they integrate with lots of different specialist platforms and systems so small businesses can connect the applications they need. I’ll be writing about some of these Xero integrations soon.

Profitable Businesses Suffer Poor Cashflow

Xero Course cashflow-forecast-charts-reporting-budgetsI’VE TALKED ABOUT CASHFLOW on this blog before, particularly as it relates to good credit management processes.

This time, however, we’re going to look at how profit differs from cashflow, even though the two are intimately related.

There is the perception that a profitable business can’t suffer from poor cashflow, but this is incorrect. There are plenty of profitable businesses that don’t have enough money in the bank at a given time to pay their outgoings because cashflow is lumpy.

We’re in business to make a profit, and yet the term ‘profit’ is really just an accounting concept. Profit is revenue minus expenses, but it doesn’t reflect our investment in capital assets, such as equipment or vehicles, nor does it take into account the liabilities we have funding our business (loans and hire purchases).

Cashflow is the true indicator of success

Cashflow, unlike profit, is about timing. Specifically, it’s about having money before you have to pay out money, something not identified by profit. Managing cash flow is one of the most stressful things about running a business, because many variables affect it.

Sure, not earning enough money or not having processes in place to make sure that money flows into your business in a timely fashion are part of it, but there are other factors too, such as:

  • Incorrectly priced products or services
  • High overheads
  • Holding too much stock
  • Large bills (tax bills)
  • Seasonal cycles
  • Large projects
  • Growing pains (putting on more staff, increasing stock levels)
  • Unrealistic forecasts.

P&L reports help determine causes of poor cashflow

Quite a few of the things that adversely affect a business’s cashflow can be determined by running regular Running Multi-Period Profit and Loss Statements], while others can be managed (or avoided) by implementing better processes or procedures for doing business.

Product based business which keep inventory can have their cashflow affected by:

  • incorrectly priced products and services
  • holding too much stock
  • seasonal sales cycles

and this evidence will show up when you run your P&L reports, as well as your inventory sales and stock-on-hand reports. If, for example, you identify that May, June and July is your busiest quarter, while November, December and January is your quietest, and where you struggle to meet your outgoings, you should implement strategies to better plan for that leaner period.

A seasonal period of downturn is common among most businesses. It’s how you manage and plan for that downturn that separates successful businesses from ones that aren’t. For example, it’s unwise for a sole trader to take a holiday March, a seasonally busy period for his business, when he could wait until June when it’s much quieter.  

Your bookkeeper will play a key role in how you plan and manage your cashflow. Ask them to run reports that will help you to identify any inefficiencies in your business that’s causing poor cashflow, and implement strategies to better manage it.

Finding Help with Your Bookkeeping

Why you should employ a bookkeeper to help manage the books

If you’re a small business owner, it shouldn’t be taking you an inordinate amount of time to keep your bookkeeping orderly and up to date. If it is, perhaps now is the time to get help.

PERHAPS YOU ARE a small business owner who is trying hard to keep up to speed with your regulatory bookkeeping requirements. But no sooner does one quarter end and another one seems to roll by with the commensurate paperwork due all over again. This is taking away from your regular work and you’re falling behind — and half the time you’re not even sure that it’s being done correctly. It sounds like you should be seriously considering finding a bookkeeper for your business.

Even if you have training in how to use Xero, MYOB or Quickbooks, or some other cloud accounting program, finding a great bookkeeper can make all the difference to your business. However, although there might seem to be plenty of “bookkeepers” around, finding the right one bookkeeper for your business is not an altogether easy thing to do. And if you’re financially challenged, you also need to find a bookkeeper who won’t break the bank.

Bookkeeper, accountant or tax professional?

These days, the term bookkeeper is almost an umbrella term for all the different types of accounting and tax professionals available to you, from basic data entry bookkeepers right through to specialised BAS and tax agents.

There are even some bookkeepers who are so knowledgeable in one particular accounting program that the software company has endorsed them as certified consultants or advisors, and some earn commission from accounting software companies, while there are others who aren’t beholden to any particular software company. We outline four steps you can take to narrow down the search.

Step One: What Kind of Bookkeeper Do You Need?

Think about your business and how it operates. Do you have lots of business purchases and transactions each week? Do you employ staff? Do you work in a specialised industry? Are you registered for GST? Do you require a bookkeeper to work onsite at your premises or can they work remotely?

Write down the needs of your business to help you determine the kind of financial help, and therefore, what kind of bookkeeper you need for your business.

Step Two: Research Local Bookkeepers in Your Area

Visit the websites of some local bookkeepers in your area, or search the National Bookkeeping Directory to find bookkeepers matching your requirements located near you. If you don’t require a bookkeeper to visit your premises, broaden your scope and research bookkeepers who can work remotely. Make a shortlist of potential bookkeepers.

Step Three: Check the TPB Register

BAS and tax agents are required, by law, to register with the Tax Practitioner’s Board (TPB), so if your business requires either a tax or BAS agent (or both), the TPB Register should be your first port of call to ensure the person who have in mind is currently registered to provide BAS or tax services.

Step Four: Interview Your Preferred Bookkeepers

During step two, you made a shortlist of potential bookkeepers, and, assuming your TPB search didn’t turn up anything to be wary of, you should now set about contacting each one to get to know more about the services they provide.

It’s a good idea to ask them how long they’ve been working as a bookkeeper for, the sorts of businesses they’ve worked with in the past, and any expectations they may have of you. You should also ask for a written quote for their services. This quote should form part of your professional services agreement.

How Buying Business Premises Affects Your Tax

Documenting and tracking your business premises’ expenses leads to accurate tax and activity statements.

IF YOU DECIDE TO buy your business premises it will have an effect on your tax. Our Xero training courses will show you how to account for your business premises, but here is what you need to consider about your tax and GST obligations.

Capital gains tax (CGT)

If your business will be operated out of the premises you buy, it will be subject to CGT when, or if, it is later sold. As such, you need to keep records about when and for how much the property gained so you can work out the capital gains when you sell it.

Capital gains occurs when the amount the property is sold for is greater than what it originally cost to acquire it. If the property is sold for less than its original purchase price, this is known as a capital loss.

Capital losses

If you make a capital loss when you dispose of the premises, you can use that loss to reduce any other capital gain you might have also made in the same year —  another property or shares in another business, say.

If you haven’t made a capital gain in the same year, you can use the capital loss to reduce a capital gain in a later year, but you cannot use a capital loss for any other income.

Income tax deductions

If the premises is used to run a business, or is available to rent for that purpose, you can claim tax deductions for expenses associated with owning it; such as interest on a loan to buy the property and maintenance expenses. Keep records of your expenses from the start, so you can claim everything you’re entitled to.

GST

If you buy commercial premises, you may be eligible to claim a credit for the GST included in the purchase price. Additionally, you may also be able to claim GST on other expenses that relate to buying the property — such as the GST included in solicitors’ fees and ongoing running expenses.

However, you can’t claim GST in the following instances:

  • The seller used the margin scheme to work out the GST included in the price
  • You purchase property from someone who is not registered or required to be registered for GST
  • You purchase the property as a GST-free supply
  • You’re not registered for GST.

Keeping track of the purchase and expenses related to your business premises properly in your accounting software is vital to the ongoing financial health of your business — and accurate tax and activity statements.

Turn Your Wage Payments into a Business Loan

If you know that you can’t quite make payroll, a short-term business loan may see you through and avoid penalties.

WE’VE RECENTLY UPDATED THE course content in our Intermediate Microsoft Excel training courses to include a workbook and spreadsheet (that you can use in your own business) showing you how to manage ad hoc payroll using Microsoft Excel. This will enable you to calculate your PAYG and superannuation obligations in Excel.

Using Excel to work out your PAYG and super obligations is a great way for small businesses, with a small number of employees, to save money. It saves you having to purchase this extra module in MYOB or Xero, for instance, when you may rarely use it. Saving money for small business is crucial as often it’s these same small businesses that have trouble making payroll payments each week, fortnight or month — and then wind up incurring further fees from the ATO when they’re late with their reporting and payments. It’s a vicious cycle.

When you can’t make payroll

If you’re finding it a stretch to make payroll payments, don’t worry, you’re not alone. Lots of business owners have trouble making payroll. But there are things you can do about it. We find that it frequently comes down to poor credit management processes or perhaps a downward trend in a business’ cycle that’s been missed due to poor or inefficient accounting processes. All of these can be rectified.

If the reason your business can’t make payroll is due to one or more shortcomings in your business’ operations, remedy the problems now. Similarly, if credit management is the issue, and late-paying clients are partially to blame, then tighten up or implement a credit management process. If it’s the result of bookkeeping that’s not up-to-date, find a bookkeeper to manage this for you.

How you can make payroll when cash is tight

Get financing. There are lots of ways to do this, but a common method, particularly if you need access to funds quickly, is to get a short-term business loan. Many short-term business loans don’t require businesses to have a great credit score, and will offer funding of as little as $5,000 right up to $500,000.

You’d have between 3 and 36 months to pay back the loan, but you need to be aware — the annual percentage rates (APR) are usually high. Most lenders require the business to have been active for a minimum of 9 months, and have revenue of more than $75,000 per annum. However, if paid off quickly, these can be an alternative to incurring penalties — it will obviously depend on your business’ individual circumstances.

Keep on top of bookkeeping

If you stay on top of your bookkeeping, you’ll either reduce the likelihood that you won’t make payroll, or as a worst case scenario, be able to foresee the periods when you won’t be able to, and be able to arrange finance in time to cover it.

When Does Your Bookkeeping Need Rescue Work?

Hmmm, so much to do, so little time…

WHEN IT COMES TO YOUR BUSINESS ACCOUNT KEEPING, unless you’re a bookkeeper, bookkeeping is probably your least favourite thing. However, it’s also a fundamentally important part of running a business.

We provide business people with a number of courses in Xero accounting software and we know firsthand that, aside from the legal requirement to lodge regular activity statements, keeping your bookkeeping up-to-date also helps you run a more successful business. This is because it allows you to run regular balance sheets, profit and loss statements and many other financial reports that’ll give you a clear picture of how your business is performing.

However, not every business owner has the procedures in place to manage their bookkeeping regularly. It’s ok, it’s not your fault — you were meaning to, but you were busy running your business and time marched on. Now you have to lodge an activity statement, and you’ve just realised you haven’t done any bookkeeping for three months!

When you need rescue bookkeeping

If you have three months or more of bookkeeping to do before you can lodge an activity statement, then you’re in need of a bookkeeper who can perform rescue work. Some of the common bookkeeping problems rescue work covers includes:

  • Bank accounts or credit cards that don’t reconcile with statements
  • Old un-presented transactions in the bank account or credit card
  • Trade debtors and trade creditors don’t balance with the balance sheet
  • Dealing with outstanding invoices and bills that have already been paid, but still showing as outstanding
  • Incorrect previously lodged BAS
  • Incorrect information showing in payslips, tax tables, super guarantee contributions calculations, payment summaries, etc, due to payroll systems being set up incorrectly
  • Unreliable inventory figures.

Not all bookkeepers are able to take on rescue work, because it’s lumpy and it requires them to perform a lot of work in a short space of time, which can conflict with their other regular bookkeeping work.

Rescue bookkeeping is often more expensive

Because rescue bookkeeping requires a lot of manpower in a short period of time, it’s often a little more expensive than have your bookkeeping attended to on a regular basis. In most cases, you will be asked to prepay for a minimum of 10 hour’s work or however long it’s estimated it will take to get your bookkeeping up to speed.

Profit and loss statements should be run by businesses regularly and are required by law.

A basic, yet vitally important, report for every business owner is a profit and loss (P&L) statement. A profit and loss statement, as the name suggests, shows whether a business is running at a profit or a loss over a given period. We’ve written about why running multi-period P&Ls before in QuickBooks and MYOB is a good idea for businesses with inventory, but single period P&Ls are equally important for all businesses.

If you’re a bookkeeping newbie, a profit and loss statement, which sometimes goes by other names — income statements, earning statements, revenue statements, operating statements, statement of operations, or statement of financial performance — is a basic report you’ll learn to run in our Xero Daily Reconciliations Course. If you’re planning to work as a contract bookkeeper, you should get in the habit of running P&L statements for your clients regularly (if you’re a business owner, ask your bookkeeper to run them).

P&Ls are required by law

Depending on how a business is structured, it may be required by law to complete a P&L. A P&L shows how the revenue of the business is turned into net income by subtracting all expenses from income. They’re also useful for understanding a business’ net income, which helps with the decision making processes. A business will also need a P&L if they’re applying for a small business loan.

The contents of a P&L

profit and loss statements P&LsAlthough the process of running a P&L differ between accounting software packages, they usually all contain the same elements, depending only on the business itself. In the first section, the cost of sales is subtracted from the revenue, which highlights gross profit. The business’ operating expenses are then subtracted from the gross profit, which leaves the operating profit. Now, all of the non-operating revenues and expenses must be factored into account, after which the business’ profit or loss will be displayed.
