Accounting Software or ERP System?

enterprise resource planning systems learn myob xero quickbooks online training course videos

Are you BIG enough yet?

I’VE BEEN IN BUSINESS since my early twenties but it wasn’t until my late twenties that I had any clue about how larger companies use and pay for software. I was going through the process of selling a water filter business that I’d been operating in Sydney’s Dee Why when I had the pleasure of meeting the owner of Fountainhead Water Company, Mark Darling.

Fountainhead used a specialised accounting system for the bottled water business which did everything from receipts for each delivery to capturing bottle deposits, tracking rental coolers and more — and Mark was paying hundreds of dollars per month for this software. It was a far cry from purchasing the MYOB software for a couple hundred dollars and NEVER upgrading (no payroll at the time).

How Bookkeepers Can STOP Losing Out to Accountants

Junior level 1 bookkeepers good cheap local bookkeeping services - Natbooks

Or is it just BAS Agents who are losing out?

THE BURDEN ON Australian small businesses to stay compliant with the ATO is immense. A lot of that is to do with the Government not distinguishing between a small business with upwards of 20 staff, and a micro business which may have 5 or fewer staff — sometimes even no staff.

All of this compliance — bookkeeping, activity statements, payroll, superannuation, and so on — is costly and time consuming, so most business owners outsource this work to a professional contractor. Before the Government changed the tax laws, it was bookkeepers who small or micro business turned to.

Announcement: Use NPV, IRR & Financial Functions in Excel to Invest in Property

Microsoft Excel Training Course can help you halve your mortgage

Microsoft Excel Training Course can help you halve your mortgageMicrosoft Excel: helping to forecast returns and manage investment property finances

I WENT THROUGH SEVERAL different spreadsheets (which are incorporated into our Microsoft Excel & Property Investment online training courses) when I had to calculate borrowing capacity and expected return for an investment property in Newcastle recently. Microsoft Excel is a great tool for managing your investment property portfolio finances and to help students understand financial literacy we recently created some new training content for our Advanced Microsoft Excel training courses, which covers common calculations that investors go through when they look at potential debt or equity investments in new startup businesses.

Determine the NPV of a project

Net present value (NPV) is a core component of investment budgeting. It’s a comprehensive way to to calculate whether a proposed project (such as a home renovation) will add value to the investment or not.

An NPV formula involves many financial concepts in the one formula:

  • cash flows,
  • the time value of money,
  • the discount rate over the duration of the project, and so on.

Any NPV greater than $0 represents a value-added project, with $0 representing your break-even point. A negative dollar figure suggests the project won’t add value or deliver any return on investment.  There are two ways to calculate NPV of an investment in Excel — by separating out the component cash flows and calculating each step individually, or by creating an NPV formula in Excel to do that for you. I can tell you from the Applied Finance degree I did with Kaplan that Excel makes it a LOT easier.

Determine the IRR of your investments

The Internal Rate of Return (IRR) is a metric used to measure the profitability of a potential investment. IRR is a discount rate that makes the net present value (NPV) of all cash flows from a particular project equal to zero. IRR calculations rely on the same formula components that NPV does. In general, the higher a project’s IRR, the more desirable it is to undertake. You can also use IRR to rank multiple prospective projects you may be considering for an investment property, assuming the costs are equal among each project. The one with the highest IRR would be considered the one that should be undertaken first. If this all sounds a little complicated you may never need to worry about it but rest assured the companies in your superannuation fund who work hard on making money every year will be using these regularly.

MYOB Unlimited Offer Not Really Fair

MYOB, Xero & QuickBooks Online Courses for tradespeople

MYOB, Xero & QuickBooks Online Courses for tradespeople
Is MYOB mocking tradies in their new ad

I WAS DOING SOME research about MYOB’s large and confusing product suite recently, when I came across the word “unlimited”, followed by an asterisk.

I thought this was odd, since I didn’t think the word “unlimited” required much more explanation — doesn’t it, after all, mean inexhaustible, limitless, boundless, and so on?

It turns out there ARE limitations around MYOB’s products — and it relates to bank feeds. They are subject to a fair use policy, but the downloaded document doesn’t actually quantify what constitutes “fair use”, so our team had to go and do a little digging.

What is “fair use”?

The term “fair use” has been unusually co-opted by companies and businesses, usually telcos and ISPs, to put some limitations around their “unlimited” product plans. Traditionally, “fair use” referred to copyright, and the use of texts — be they music, films, books, etc — in a manner that is considered fair. I was involved in a VoIP telephone business when a company from the US called Fonality made a HUGE running dive into the Australian telecom market with fixed cost plans when it was still new to Aussies.

They offered an “Everything’s Included” package based on a fixed cost per line and it too was based around a “Fair Use Policy” which you had to dig really deep to find and understand. The most common example I’m aware of is for Internet access by gamers who use an incredible amount of download data compared to most people and I understand that their usage may be unfair but I also think this type of clause in a product offering is very UNFAIR — particularly on your competitors (who would probably happily match it!).

In copyright law, brief excerpts of copyrighted material may be used verbatim for the purposes of criticism, news reporting, teaching, and research without requiring the permission (or payment to) the copyright holder.

How does “fair use” apply to MYOB?

Click the image and then zoom in to see if you can see it.

In the case of MYOB’s not-unlimited bank feeds, there’s a monthly threshold, depending on the type of MYOB product or plan you’re on, and once you exceed that threshold, you’ll be charged a fee for each bank feed transaction you carry out that month.

It’s basically a reinterpretation of the “fair use” policy as it relates to copyright law, to suit MYOB’s purposes.

Although the document I was encouraged to download didn’t outline MYOB’s Bank Feeds Fair Use Policy, I managed to find it elsewhere on the MYOB site, which has been republished below (under the fair use policy for copyrighted material!).

So long as you don’t exceed the number of monthly bank feed transactions your plan permits, you should be fine, though the term “unlimited” is fairly misleading in this instance, since they have a clearly defined number of transactions they allow.

No Ambiguity with LIFETIME Access

EzyLearn Online Course Updates & Additions for latest versions of Xero, Excel & MYOB coursesEzyLearn has been in business since 1996 and online only since 2006. In 2011 we launched LIFETIME course access as an option for selected courses and we did it because we could!

We have the systems in place to track students enrolments so it’s something we feel very comfortable with and we’ve had many students ask us about it a couple years after doing their course — obviously they were thrilled that we still had their details on file and gave them access to the CURRENT course. Yes, when we offer lifetime course access it means you get to the NEW version of the software course as well as the older one. That’s part of our Update and Addition Policy.

You can learn more about bank feeds with MYOB and how to set them up in our MYOB training courses. Visit our website for more information or to enrol.

How to Tell You’re Setting Your Prices Too Low

How to set prices in business

how to set prices in business
Don’t shoot yourself in the foot by pricing too low and only winning jobs that you make very little on!

AS ALL SMALL BUSINESS owners know, setting the right prices is a difficult task. And a lot of newbie business owners think that being cheap is the better than meeting the market, but that’s not always the case.

Take, for example, a tradesperson I met recently. This tradesman is a painter and he’d been in business for a while before he realised his prices were set too low, and despite all the business he was getting as a result, it was actually costing him money. (We cover more detailed, real-life case studies like this in our micro courses.)

He shared with me the tell-tale signs that your prices are too low.

Lots of small, one-off jobs

Small jobs are important because they keep the home fires burning, so to speak. But you need a good balance of small jobs and bigger projects, with the small jobs being completed around or in the middle of the larger ones.

If you’re only getting lots of small, one-off jobs that you spend more time to travelling to than it takes to complete the work, this is a good indication that your prices are too low. For jobs like these, either charge for travel time or a call-out fee.

For small jobs … charge for travel time or a call-out fee.

You’re too busy to plan ahead

If you find that, in order to make ends meat, you need to keep yourself so busy that you don’t have time to plan your working week, then your prices are too low. You should be able to plan out your weeks so customers know when to expect you, and so you can be as productive and efficient as possible — if you have two jobs in the same area, for instance, planning ahead will allow you to go to those jobs on the same day.

Use a tool like Google Calendar from G Suite to organise your days, and keep in touch with customers along the way so they know to expect you.

You can’t afford to pay for help

Setting your prices lower than your competitors may be one way to win jobs, but the downside is that you’re constrained to completing the work entirely yourself. The tradesman, a painter, whom I was speaking with, told me about a time he couldn’t afford to find another painter to help prepare walls or pitch in with the painting because his prices were too low.

If you’re not able to pass jobs onto other businesses in your industry — subcontracting — and still clip the ticket, or you’re not able to afford to use a portion of the money you’d earn to hire someone to complete part of the job, you’re charging too little.

You’re too busy to invoice promptly

Just as it’s important to plan your work weeks in advance, it’s equally important that you invoice customers for the work you’ve completed in a timely manner. If you find that you often don’t have the time to invoice customers until a week or a month has passed, there’s a deficiency in your business processes. Use accounting software like Xero so you can invoice on the go.

Are You Making these GST Mistakes in Your Bookkeeping?

find a good local or remote bookkeeper

Don’t submit inaccurate financial documents by trying to do everything yourself by way of bookkeeping.

IT’S PERHAPS EASIER TO do your own bookkeeping these days than it used to be; particularly if you’re using a cloud accounting program like MYOBXero or QuickBooks, which are among the easiest, yet robust, accounting applications currently on the market.

But even so, there are many aspects of Australian tax that, while accounting software makes it possible to carry them out yourself (like business activity statements, for example), it’s not a good idea unless you really know what you’re doing. Here are the three GST mistakes nearly every business owner makes in their bookkeeping.

We Don’t Lock Our Microsoft Excel Course Content

You Can Use the Calculation Fields in our Excel Exercises as Often as You Like!

learn Excel online training course unlocked calculations and formulas
We keep all the calculation fields in our Excel course exercises unlocked so you can play around with different figures of your own as often as you like.

DESPITE THE POPULARITY OF cloud-based accounting software applications like Xero and MYOB, Excel still remains one of the most indispensable software programs for businesses and individuals alike. That is why we always make it a priority to constantly update our Microsoft Excel Training Course.

You can apply Excel to so much

Accounting software, even robust packages like MYOB, only allow you to perform a finite number of functions that relate to business accounting. However, Excel can be used for a multitude of different purposes — both business and personal, merely one of which is to develop a financial forecast for an investment.

EzyLearn courses provide real-life case studies

learn excel online training course

Our Intermediate Excel Training Course uses the construction of a granny flat for investment purposes as a case study example. We chose a granny flat for the case study because most people construct them as an investment, whether they’re in business or not, so it’s a good real-world example.

It also deals with depreciation, which you can claim in your tax, regardless of whether you’re in business or not.

Our calculation fields remain “unlocked”

But even though, with the current property booms in our major cities, granny flat construction has become more common, it is not so common that every person taking our Excel courses is planning to build a granny flat for their next investment. That’s why we decided not to lock our course content.

What does this mean? It means that all the calculation fields in the exercise files of our Excel training courses are unlocked, so that your education remains unlocked too. You’re free to play around and replicate them as you need, so you can get a proper handle of how to use Excel in business or for work.

Which Granny Flat is a Better Investment?

A Real-Life Granny Flat Construction Scenario

learn excel online training courseChoosing between a one-bedroom and two-bedroom granny flat is a decision you’ll need to make early on in the project, and it’s largely a financial one.

EzyLearn’s Microsoft Excel Training Course includes a new case study, “Investing in a Granny Flat”, which uses the construction of a granny flat as a real life example to help you to better understand how to develop a financial forecast for an investment.

Determine construction and ancillary costs

How much it will cost to construct both a one-bedroom and two-bedroom granny flat is the first step. You need to work out how much it will cost to get each granny flat constructed to the point that someone can move in, as well as any ancillary costs, like council fees and levies, real estate management fees interest rates and so forth.

Determine rental income

Some granny flat companies will give you rental income estimates, but you’re encouraged to investigate this yourself. Rental incomes are heavily dependent on your local area and the demand for that type of property. In Sydney, the demand for rental property far outweighs the demand in regional NSW. Take into consideration vacancy rates in the area and the types of property that are in demand. Areas with high vacancy rates and low demand for one-bedroom units could indicate there’s little demand for a permanently rented one-bedroom granny flat, which will put the rent down.

Determine depreciation amounts

Both granny flats will be subject to the same depreciation rate, however the amounts will differ due to the differing value of each dwelling. In addition to an annual depreciation rate on the dwelling, consider other elements of the granny flat that will also be subject to depreciation. Floor coverings, for example, can be depreciated over time. Carpeting is typically depreciated at a rate of 20 percent, where tiles are depreciated at 2.5 percent because the latter has a longer lifespan.

Determine the best investment

Add all of these costs into Excel to determine the average annual rental yield, expressed as a percentage of the property value. Rental yields are used to show the return on an investment. The higher the rental yield, the better the return is. Taken in combination with your own personal circumstances and plans for the future should help you to determine which option represents the better investment.

Basic Bookkeeping Reports in Xero: Profit and Loss

Learn How to Run a P&L Using Xero

Profit and Loss statement
Profit and loss statements should be run by businesses regularly and are required by law.

A basic, yet vitally important, report for every business owner is a profit and loss (P&L) statement. A profit and loss statement, as the name suggests, shows whether a business is running at a profit or a loss over a given period. We’ve written about why running multi-period P&Ls before in QuickBooks and MYOB is a good idea for businesses with inventory, but single period P&Ls are equally important for all businesses.

If you’re a bookkeeping newbie, a profit and loss statement, which sometimes goes by other names — income statements, earning statements, revenue statements, operating statements, statement of operations, or statement of financial performance — is a basic report you’ll learn to run in our Xero Daily Reconciliations Course. If you’re planning to work as a contract bookkeeper, you should get in the habit of running P&L statements for your clients regularly (if you’re a business owner, ask your bookkeeper to run them).

P&Ls are required by law

Depending on how a business is structured, it may be required by law to complete a P&L. A P&L shows how the revenue of the business is turned into net income by subtracting all expenses from income. They’re also useful for understanding a business’ net income, which helps with the decision making processes. A business will also need a P&L if they’re applying for a small business loan.

The contents of a P&L

profit and loss statements P&LsAlthough the process of running a P&L differ between accounting software packages, they usually all contain the same elements, depending only on the business itself. In the first section, the cost of sales is subtracted from the revenue, which highlights gross profit. The business’ operating expenses are then subtracted from the gross profit, which leaves the operating profit. Now, all of the non-operating revenues and expenses must be factored into account, after which the business’ profit or loss will be displayed.

***

Because P&L statements are often used by a business’ owner to make financial decisions, to inform shareholders of the business’ performance, apply for a business loan, or as proof of income in the sale of a business, it’s important that you understand how to create one correctly. Our Xero Daily Reconciliations Training Course covers P&L statements, and much more. Visit our website to learn more or to enrol.

Announcement: Social Media Marketing Course

EzyLearn Social Media & Digital Marketing Training Course logo image only

Social Media Marketing Course for 2017

EzyLearn Social Media & Digital Marketing Training Course logo image onlyDigital marketing is one of those fine arts that sometimes takes many attempts to get right and I’m guilty of that myself. I wrote a couple blogs recently about content marketing because I spend a lot of my time creating and modifying strategies, optimising and planning the content that my team creates for EzyLearn and other websites. However, I think many people are unfamiliar with what the term “content marketing” means — my mistake! I should have used the words that most small businesses associate with online and digital marketing: “SOCIAL MEDIA”!

Social Media Course — We Include EVERYTHING

So, now that I know social media is the keyword, I’m going to explain how every course we offer ties into your Facebook advertising and Facebook Page and why all of these aspects are important to you if you are going to spend more time and money building a strong online brand.

Content Marketing

virion and 123ezy social media course and content marketing catalogue No matter who you are or what you do you will need content and you will use that content to promote you and the services you provide. I have been using all of these tools to help convert EzyLearn into an “online only” training company in 2006 but I was able to explore how to provide these services to real estate agents when I managed the social media strategy for Derek Farmer, a real estate agent in Cammeray at the time. Here are the content options we had to play with:

Photographs and Images

Images are used in Instagram, Facebook, Linkedin and on your blog (if you have one). They are used to make a blog easier to read and in industries like real estate where good photography is important to get a high price and make a successful sale they are used to showcase the product being sold. I recently spoke to an asbestos removal company and photographs of what they do and how they do it are also an important part of their “content”.

We show you how to include images in blogs and even include fundamental image editing skills using GIMP (it’s very powerful and it’s free!)

Video Marketing

property marketing, video marketing, Facebook Page, Facebook Ads, Youtube and video marketingEzyLearn has several hundred videos as part of our online training courses and sometimes we use them to give prospective students examples of our training, explanations about how our special offers work or even videos of me explaining the EzyLearn journey since the late 1990’s! Real estate agents like Derek Farmer use video to help educate property sellers about the various aspects of the property selling process and what to look out for.

We show you how to get your video up to YouTube, or more professional services like Wistia and show you the analytics you can get about your video viewers and how to make a better video next time — it’s all about drop off rates. We also show you how to get a Call-To-Action within the video itself.

Blog Marketing

Blog marketing is my personal favourite because I love writing; you can really play with the keywords that Google loves so much and you can fill a website up with content that shows you are active.

We teach you how to create a website, create web pages AND blog posts, how to optimise them for the keywords you want to be discovered for and how to measure and understand the visitor analytics.

Facebook Pages, Timeline Posts, Advertising and Remarketing

This is the one that EVERYONE is interested in and for good reason; the demographic targeting is fantastic. Facebook is becoming increasingly important for real estate agents to promote themselves — indeed, Social Estate and BuddyBid are just two companies getting in early to earn a couple of hundred dollars a month for each real estate agent they take on board.

Note: This is something that any work at home mum (or dad) can do! You just need to understand how to generate new content or “republish” other interesting content on a Facebook Timeline and how to create a Facebook Ad. We cover all of this in our Social Media Marketing Course.

Facebook Pages

Our written guide and training course videos show you how to set up a Facebook Page for a local business (ideal for tradies, service providers like accountants or bookkeeper and of course real estate agents). By using a Facebook page you can assign the administration of that page to someone who simply schedules posts — that someone can be YOU.

Most people with a Facebook Page then need to make sure their Timeline is filled with content so that they pop up regularly in local news feeds.

Feeding Your Facebook Timeline

Real Estate Agent Facebook Page, timeline posts and ads help property and brand marketingMost people think it’s important to create a Facebook post every day but that’s hard to do if you need to generate original content. Instead most people re-post other content that is relevant to the audience — this is often referred to as curated content (for instance, where you make a comment or affirm your belief in an article).

Real estate agents often simply refer to the plethora of real estate blogs available and here are some examples used by David Howe, an honest and diligent McGrath agent in Northbridge, Sydney, who asked our designer team to create a website for him:

  • http://www.dailytelegraph.com.au/lifestyle/food/sydney-taste/sydney-eat-street-10-things-to-try-in-crows-nest/news-story/
  • http://www.apimagazine.com.au/2016/11/debt-retirement-worries-high/
  • https://www.buzzfeed.com/markdistefano/too-real-estate
  • http://www.homestolove.com.au/how-to-design-the-perfect-laundry-4236
  • http://blog.templeandwebster.com.au/work-the-trend-the-new-natural/
  • http://www.afr.com/real-estate/residential/dont-want-to-move-want-a-reno-architecture-awards-show-how-to-do-it-20161104-gshwue
  • http://davidhowe.com.au/david-howe-real-estate-agent-northbridge/

This method of posting other people’s content is good enough to show that your Facebook Page is active. However, from an internet marketing perspective it tends to send people away from your Page and onto other websites where your competitors might advertise — especially if you report material by ratemyagent, openagent, realestate.com.au or domain!

In our social media marketing course we show you how to make a post like this and schedule them all in advance but also how to get your own unique content and how to link to content where none of your competitors are listed.

Facebook Advertising

Facebook Ad Views for individual property advertisement - Clarence TownFacebook ads are relatively simple to create so there is NO reason to get someone else to do them (particularly if they’re going to charge you the equivalent of 4 hours’ labour!). The key elements of a Facebook Ad are their structure: Campaigns, Adsets, then individual ads and once you get that right and understand how it works, creating a Facebook Ad can be done by someone in your office or who you trust (again, a work at home mum).

We show you the type of posts and ads that Derek Farmer paid to promote in his local area, why he chose to do it, how much he paid and what his viewer and reader statistics were. We’ll also show you how to advertise to your own client base in their Facebook Feeds and how to remarket to people who’ve been to your website or Facebook Page.

WordPress, Hosting, User Management etc

I believe that your own website is the best “landing page” for any marketing money spent because YOU OWN IT. The more traffic you direct to your own website and the more content you put there that is valuable to your customers and future potential customers the more valuable YOU and YOUR WEBSITE will become.

WordPress online training course and social mediaIn our Social Media Marketing Course we include every aspect of how to manage your own website using the very popular WordPress Content Management System. This includes having multiple users be able to publish content. Lead Capture and Email Marketing

Having a call to action on your website or Facebook Page is critical to truly analyse it’s effectiveness and understand it’s success — what’s working and what needs to change. A very important part of that is to capture the email address of people who visit your site and most websites do that using a giveaway, free reports, white papers etc. Once you have a potential clients email address you effectively have permission from them to send them email messages.

We use a number of different email marketing solutions including Campaign Monitor and Aweber, and these are very similar to MailChimp, GetResponse, Constant Contact and a plethora of other email marketing solutions. We’ll show you how to use these systems to capture website visitor details and send them messages automatically.

Capturing, Analysing and Understanding visitor traffic

Video visitor Analytics - property marketing video for real estate agentsGoogle Analytics is the most popular website traffic analysing system and you can use it to measure the effectiveness of your website day-by-day, week-by-week and for specific date ranges.

We show you how to implement the code on your website, how to access the visitor traffic information on your PC and even your mobile phone and what elements to look for to understand what your website is doing.

Reckon One or MYOB?

Just What Do We Reckon?

find-a-good-bookkeeper
Reckon One was the original distributor of QuickBooks.

Not so long ago, we looked at the major differences between MYOB and QuickBooks. We also explored some of the other benefits of Quickbook more generally over MYOB, but Reckon One, which used to distribute QuickBooks in Australia before striking out on their own with their cloud accounting software, is also becoming a major player in the cloud accounting space for small businesses.

We thought we would take a look at how Reckon One stacks up compared with MYOB, which is still the market leader in Australia and the mostly widely used account software application among accountants.

Reports

The reporting functions in Reckon One are extremely powerful. This is true of MYOB, as well, but with one major difference: Reckon One has the ability to customise and save the reports you’d like to run. This is a big time-saver, as it renders all your reports just one click away, rather than several. If you’re using a bookkeeper, they’ll be able to run your reports for you the first time, and then you’ll be able to go in and generate them as often as you like afterwards.

Payroll

Both products offer a very good payroll system for businesses that need it (Reckon One, at the time of writing, charges an additional $3/month to turn this feature on), while unlimited payroll comes standard with the MYOB Essentials Unlimited Payroll plan. Both products are also SuperStream Compliant, so if you’re looking for a stable, yet flexible, payroll system, either products are a good choice. Of course, depending on your business’s other needs, you may lean more toward the cheaper Reckon One option.

User Experience

MYOB AccountRight, even to this day, looks dated. The MYOB Essentials platform, however, has a much cleaner interface, as does Reckon One. The product you choose will depend on the size and needs of your business, the features you require, and who will, primarily, be using the software. MYOB is famously more difficult to use compared with Xero, QuickBooks or virtually any other accounting software. Indeed, everything you can do in Reckon One takes about three or four more clicks to perform in MYOB, so, again, it’s a matter of personal choice. There are many Apple users who can’t understand why people still use IBM computers, just as there are many IBM users who can’t understand why people use Apple products.

In selecting a cloud accounting package for your business, remember not to choose solely based on price. Make a list of the needs of your business and the functions you’ll require, and then select the accounting package that suits your needs the most. It’s also a good idea to speak with your bookkeeper before making a choice.

You Need To Be a Job Hopper To Do Well In Your Career

When it Comes to Your Career, Hopping Around is OK

job-hopping-to-success
Those who hop may be the most successful, career speaking.

For many years, young people, particularly Generation Y, were cautioned about changing their jobs too often — or being a “job hopper”. It would give the impression they were flaky or disloyal or unable to commit, they were told,

You want to find a job where you can stay there for at least 10 years, where you can grow and progress through the company.

That was the advice handed out just a decade ago, perhaps even more recently than that. But the tide is now rolling the other way. Continue reading You Need To Be a Job Hopper To Do Well In Your Career
