What Kind of Bank Account Do You Need for Your Business?

We recently wrote posts about the service, Banklink, (generally used far and wide except by the Bank of Queensland) and since then we’ve heard back from a couple of our readers, who told us about some of the problems they’ve experienced trying to use BankLink with their bank account.

Banklink and Credit Card Issues

We spoke to one reader, Anton Prinsloo, who owns and operates CSTAY Budget Holiday Accommodation at Magnetic Island, off the Townsville Coast. Anton uses the Bank of Queensland for his business banking, and as part of his business strategy uses his credit card for all of his business purchases.

Anton has found that while the BankLink service “beautifully reconciles my everyday business account, BankLink doesn’t work with my credit card.” Anton later discovered that the reason BankLink doesn’t work with his credit card is because in 2007 the Bank of Queensland transferred its credit card service to Citibank.

According to BOQ Managing director, David Liddy, the decision to transfer BOQ’s credit card service to Citibank was “part of Bank of Queensland’s ongoing strategy to provide its customers with the best in access and customer service, while providing the full range of finance products.”

“Bank of Queensland customers will continue to have the advantages of a BOQ card, but with greater support, better product range, and more extensive national and international systems,” Liddy said of the deal in 2007.

However, as Anton found out, the Citibank-provided BOQ credit card doesn’t offer the same advantages as a BOQ card would have, as it can’t be used with BankLink because it’s a service provided by Citibank.

“I contacted Citibank to see if I could get BankLink from them, but because they don’t hold the account they’re not able to offer this service to me,” Anton told us, adding, “I get the feeling they have no intention to even try to resolve this issue, either.”

For Anton and, we imagine, many other business owners who bank with BOQ, this adds upwards of three hours to his reconciliation process using what he calls “half technology”.

Issues with the NAB

But BOQ isn’t alone. The National Australia Bank requires businesses to have a debit card account that’s separate to their business account, requiring the business owner to make time-consuming journal entries in MYOB each time they transfer money from their business account to the account attached to their debit card.

For business owners, selecting the right bank account for your business is a decision you should make wisely. Make sure you think about how you intend to use your account and do your research before settling on any particular bank. Be extra certain to find out if your bank offers the Bank Link service and how it will work with your account, so you can save yourself the hassle of journal entries and manual reconciliation.

EOFY Tips: Keeping the Accountant Happy

30 JUNE IS VERY LIKELY a date dreaded by most bookkeepers. If you’re new to bookkeeping, we know it takes a while to remember everything that needs to be done, which is why we’ve been putting together blogs containing EOFY tips and checklists to make sure you make it to August!

And continuing in that tradition, we’ve put together one more checklist to help you out with your end of financial year analysis — some tips on keeping your clients’ accountants happy.

End of Financial Year Checklist to Keep Your Accountant Happy

Once you’ve done all of your EOFY reports, reconciliation and payroll (see our EOFY payroll checklist), you’ll need to forward on a few reports to your clients’ account.

These reports will vary from client-to-client and depend greatly on the size of the company, entity, or what services you’ve been engaged to provide, but typically every accountant will need the following:

  • Reconciliation Reports — BAS GST, payroll and accounts
  • Reports — balance sheets, P&L, general ledger accounts, accounts receivable & accounts payable at 30 June
  • Details of any motor vehicle usage
  • Accounting Information System copy of data file (backup)

Why Is a Code of Ethics, Conduct or Practice Important for your Business?

As a journalist, I choose to act in accordance with the Code of Ethics set out by the Media Entertainment and Arts Alliance (MEAA), of which honesty, fairness, independence, and respect for the rights of others underpins the code.

This means I strive to ensure that every story I research and write about is honest, fair, independent, and respectful to the rights of others—even this blog post! And over the years, most of the organisations I have worked for, have too, upheld the ethos of the MEAA Code of Ethics.

Of course, just because a particular industry or trade union prescribes a set of guidelines, doesn’t necessarily mean each organisation or practitioner within that industry will uphold them—case in point: News International’s involvement in the phone hacking scandal in the UK.

And usually, until there is a breach of ethics like that of News International’s, it’s rather easy to forget why a code of ethics is necessary, particularly since compliance to the code is often voluntary, or at least, highly malleable.

But by submitting to a code of ethics, conduct or practice, you’re establishing yourself as an authority in your field; you’re telling your customers, clients and employees that you have integrity.

If you’re a bookkeeper or operate your own bookkeeping business, your clients are entrusting you with one of their most prized possessions—their livelihoods, and a code of ethics illustrates to them how you and your business operate.

But there are other reasons to adopt a code of ethics, aside from professional status. Ben and Jerry’s Ice Cream, for instance, instituted a “values-led business” code by donating 7.5 percent of profits to charity, while other organisations value a work culture grounded in a strong ethical framework that promotes high staff retention, greater customer loyalty, and increased productivity.

For all the different reasons an organisation or business would have to adopt a code of ethics, the outcome never deviates—a code of ethics ensures accountability.

If you choose to submit to the Australian Association of Professional Bookkeepers’ Code of Professional Conduct, you’re communicating to your clients what they can expect from you, and, in turn, what you can expect from them—conduct that is ethical and lawful, confidential, objective and independent, and competent.

What is Teleworking?

In a nutshell, teleworking is the ability for employees to work remotely, usually from a home office, rather than travelling to the workplace. And it’s something that Australia, and indeed, the rest of the world has been moving towards for some time.

If you think about it, ever since the widespread adoption of email, the wheels have been in motion for an era where people could opt to work from home rather than commuting to the workplace every day.

For a while, though, it has been a bit of a logistical nightmare. If you’ve ever tried to work remotely before, then chances are, at some point you’ve uttered one or all of these complaints: “This file is too large for me to email”, [quote]I don’t have that software installed on my home PC[/quote]  or “My Internet’s really slow. I might as well just come into the office”.

But when you throw things like broadband Internet, laptops, tablet devices, smart phones and the latest little life-saver, cloud accounting and storage software (like Dropbox) into the mix, working remotely, or teleworking, slowly but surely got easier.

The benefits of teleworking to employees and employers, plus also to the Australian government are huge, which is why the Australian government spearheaded the move to a National Broadband Network (NBN), which, when rollout is complete, will see high-speed Internet cabled into nearly every Australian home (93%).

The NBN will give you the freedom to things like enrol in distance education or complete one of our MYOB courses, work from home, or even start a home-based business without having to worry about poor or unreliable internet coverage.

Are Aussie accounting software firms now competing in a global space? Threats to MYOB?

Kashoo Online Bookkeeping Software comparison to MYOB, XEROI was speaking with a business owner this morning and he mentioned that he was going to try a new accounting software SERVICE after a recommendation from his web guy? It made me ask the question: “Is your web or IT guy the source of recommendation about your bookkeeping software or is it your bookkeeper or accountant?”

In my previous blog post where we included a free training video about performing a bank reconciliation using MYOB, I mentioned some other bookkeeping software programs that compete with MYOB but the program that my business owner friend talked about was from a Canadian company called Kashoo…It then dawned on me that of all the bookkeeping programs only one of them is Australian owned anyway, SAASU. MYOB is now owned by US Private Equity, Xero is a New Zealand public company, Freshbooks is US based and Kashoo is a Canadian company.

This adds to the impetus behind local Australian bookkeepers having to compete with international remote workers for bookkeeping work… but more about that another time.

The good news right now is the MYOB is a clear market leader for use in most small businesses and if you are looking to earn a living as an accounting employee or independent contractor the chances are you will need to know how to use MYOB Accounting software. It’s time to thank YOU

It’s only days before Christmas 2011 and from all of us at EzyLearn HQ we want to thank you for watching our training videos, using our training worbooks and completing our knowledge reviews, reading our blog posts and telling your friends about us. I personally also want to thank the core EzyLearn team for enabling us to grow and provide a great online training solution for thousands of Australian’s and international students.

Thank you Frankie, Yvette, Richard, Jacci, Ross, Amy, Luke, Iroshini, Warren and Allison. Also a big thanks to Simon, Scott, Amy J, Faisal, Jennifer, Nicholas and Mathew. You have made a real difference to EzyLearn this year and to our students and the hard work you’ve done will reward students for years to come.

This year has been one of our best years because we made a commitment to be the best online training company for

  1. MYOB accounting software and bookkeeping
  2. Microsoft Excel & Microsoft Word, and
  3. WordPress website Content management system and blogging platform.

Other training companies spend their time and energy trying to provide hundreds of courses with the aim of trying to get anyone they can. We decided to focus on our core skills and give everything we could. Creating a WordPress blog post

online WordPress training course - blogging and website designSocial media has gripped us all this year and if you are a business that didn’t know about websites, blogging, Facebook pages and Twitter you were considered lost. We’ve used WordPress to create our own websites for years and this year we introduced the WordPress Training Course.

You might find it interesting that we were writing blog posts about WordPress back in 2007 and even earlier, but this year we expanded our content significantly and included Google Analytics, Feedburner and other skills in it.

LIFETIME student membership

In January 2011 we introduced lifetime access to our online MYOB Training Course. This gave students access to all courses (Setup, Day-to-Day, Bank Reconciliation, Payroll Introduction) and it also provided them with a safety net and a resource when they are in the workplace. Rather than say thank you and goodbye once our students have completed their online course we welcome students to come back as often as they need.

A significant benefit to this offer is that students get access to all new content that has been created for the course or updated content for the existing material. An excellent example of this is our online Microsoft Excel course. We have training material since 1999 on Excel version 2000, 2003, 2007 and 2010 and as we create new content for Office 365, existing students will have access to the new material for no extra charge.

Welcoming Entrepreneurs as Business Partners

Our Business Partner program has enabled other dedicated professionals to use and promote our training material as part of their own business activities. This has enabled us to focus on the delivery of training materials and management of a learning platform while other business owners earn money by their promotional and sales activities.

Testing your MYOB knowledge and skills

Online training assessments and tests for coursesOnline training is still relatively new for many prospective students so we introduce the concept of knowledge reviews and skills tests to demonstrate how they are a learning tool as well as a testing tool.

We created a significant volume of new tests and quizzes as part of our online training courses this year and as a demonstration of their efficacy we introduced a free public MYOB skills test to see how much you knew about MYOB. It was also a great way for students to discover a new way of learning something online.

Partnering with Bookkeeping Industry groups

A significant number of our online training students complete their training to perform bookkeeping tasks as an employee or as an independent contractor. To demonstrate our commitment to “would-be” MYOB Bookkeepers and provide you with reputable accredited MYOB courses we became an accredited training provider of the Institute of Certified Bookkeepers. EzyLearn is also a member of the Australian Institute of Training and Development, the Australian Web Industry Association and the International Coaching Federation.

We join these associations to support the online training and coaching industries, demonstrate our commitment to professional industry ready courses and keep abreast of all new training techniques and technology.

More than just an online training course

Support is an important aspect of online learning and it is also a source of significant costs for organisations like EzyLearn. In balancing the costs of maintaining our current team members will the benefits of some rudimentary customisation of our courses we introduced EzyLearn Q&A. With a separate Q&A service for Microsoft Excel, WordPress and MYOB.

We’ve subsequently called this service EzyLearn ANSWERS. It’s a way of providing new training materials based on questions from our students. Students ask questions relating to their needs and our software specialists create a short answer to lead students to a solution. We use this service to increase the breadth of topics covered in our courses.

More team members to serve your needs

This year we added 8 new team members to help create new training content, manage our online learning site, answer questions and provide support. Most importantly it has helped us significantly reduce the time it takes between when you complete your course and when you receive your certificate.

You’ll meet more of these team members during 2012 and we hope to bring more people into EzyLearn to support your learning needs.

Faster loading videos and better online learning tools

We listened to the feedback from our students to improve as much as possible and to complement the addition of new team members we significant upgraded our video hosting capacity to ensure faster and easier viewing and navigation of our online training video tutorials.

This technology update enabled students with new devices like iPads and other Apple products to view our training videos and participate in mobile elearning regardless of their chosen devices.

Training for office administration for small businesses

virion small business telephone systems using voipThis year we formed a partnership with virion business grade VoIP to provide online training tools for their installation partners. As part of this project we included some new training materials to help office admin staff not only configure their new VoIP telephone systems, but we also provided spreadsheets for them to use as part of their phone bill analysis reports for customers to demonstrate how much money they could saving using Voice over IP.

We started looking at VoIP solutions for our own business in 2008 when we tried out the features of MyNetFone. In our constant search for better technology and support people we discovered the VoIP solution dedicated to small businesses, virion.

In 2012 we will strengthen this relationship by providing more in-depth training videos and tutorials. Our commitment to online training is focused on providing students with the tools they need to be efficient and productive in small business across Australia as well as provide these small businesses with the tools they need to operate great businesses.

Conclusion

If you think we have made a lot of improvements in 2011, just wait until you see what we have planned for 2012. We will:

  • create more training content for our MYOB course and WordPress /  Webmasters course
  • implement more services to help support your online learning
  • help you find more customers (for small business owners using your website and Google adwords, Analytics and SEO)
  • provide more tools to help you find a job (for job seekers by helping you write better resumes, perform better at interviews and be more confident in your work)

MYOB Training Course Update: New training content for MYOB Reporting – Profit and Loss Reports

The EzyLearn Blog is where we officially release information about updates and additions to our existing training courses and today we announce new content for the Reporting Subject in our MYOB Training Course.

We are thrilled to announce the production and implementation of the Reporting module in the online MYOB Training Course. In the production of this course we will be including the learning outcomes for BSBFIA401A Prepare Financial Reports subject that forms part of the FNS40210 Cert IV in Bookkeeping course and certification.

Topics included in this course will include training on how to

  • Prepare an asset register or property, plant and equipment, determining the depreciation calculation for these assets and keeping a depreciation schedule
  • Adjust expense and revenue accounts for prepayments and accruals
  • Adjust ledger accounts for inventory and transfer to final accounts
  • Create journal entries for balance day entries and prepare final general ledger accounts to show gross and net profits for the reporting period
  • Prepare revenue statement, balance sheet and cash-flow statements

We’ve modified each MYOB Training Course to clearly indicate where you can ask our resident MYOB expert a question specific to your needs and your circumstances. Profit and Loss Report

Does that sound familiar? It WAS also called the P&L Report, but as our country marches in time with new international accounting standards we join the rest of the world in calling it the Income Statement. An Income Statement tracks revenues and expenses during a given period. The difference between the revenues and expenses represents a net loss or gain and Income Statements provide business owners with an understanding of the health of their business.

EzyLearn can help online with employment

Proof of training and evidence of completion of a course are two significant ways to prove that a person has the skills to perform selected tasks when they are in the workplace. How is this achieved with online training?

A certificate in the hand of a potential employee might seem like the answer to everyone’s hopes. Companies are looking for staff with the skills and prospective employees want to be employed. So, what does a certificate mean? The most structured form of vocational training is a Certificate or Diploma course, these courses are operated by RTO’s (Registered Training Organisations) who adhere to strict guidelines in assessing students skills level, running the courses and assessing the students skills at the end of the course. Under these strict guidelines you can be confident that if someone has a certificate that they have reached a certain level of competency.

EzyLearn is a computer training content provider, in other words, we create training videos, workbooks and exercise files that are used by private individuals, companies and training companies (including RTO’s). Some of these companies have qualified assessors who are able to provide a Nationally recognised Certificate, regardless of the training materials used.

Our assessment of a students skills are based on their ability to take an MYOB data file, make changes to it like enter inventory items, create customer cards, create invoices, apply payments to those invoices and perform a bank reconciliation. If they can send the data file to us, there is good evidence that they have the skills required for most every bookkeeping tasks.
