I was speaking with a research analyst recently and he confirmed my thoughts about the next frontier for the “fight in the cloud” that will relate to add-ons and cloud based features that build on the basic accounting software.

Is Xero really the easiest accounting software to use?

Xero was a market leader, but what do accountants think of it now?

xero cloud accounting software works on tablets phones and desktop computersWhen Xero was launched a few years ago, one of its selling points was that, compared with other accounting software – in particular, MYOB – Xero was incredibly easy to use, and it was also cloud-based, which meant you could access your accounts from any computer, any device, anywhere, anytime. This helped Xero to get a major foothold in the marketplace here in Australia, where MYOB had always reigned supreme.

But it wasn’t long before we started getting requests from bookkeepers and accountants for a Xero training course, in addition to our already existing MYOB training courses. It turned out that, as more businesses (tradies, for example) started using Xero because of its cloud functionality, their bookkeepers and accountants were finding that they needed training in some of Xero’s features and functions, despite Xero being billed as the easy alternative to MYOB.

Perhaps Xero isn’t that intuitive to use without a training course?

Since introducing our Xero training course, we’ve also noticed a significant upswing in enrolments, especially from bookkeepers, with many noting that the bank reconciliations and adjustments features in Xero are difficult to navigate. This got us wondering as to whether Xero really is that easy to use compared with MYOB, or whether it there might be an easier alternative out there, especially for small businesses managing all of their own accounts.

QuickBooks wants to be the small biz accounting software of choice

Since QuickBooks re-emerged in Australia, with full backing from their US-based parent company, Intuit, they’ve been cornering the small business market, with their inexpensive pricing plans and now by announcing a partnership deal with PayPal (paypal want you to be paid quicker) that enables a two-way flow of data between both QuickBooks and PayPal.

The QuickBooks-PayPal deal follows a similar union between Saasu and Westpac, which promises Saasu and Westpac customers with direct bank feeds to provide business owners with real-time insights into their cashflow. As one of the Big Four banks – and, quite often, the preferred bank for most Australian businesses – the union is hoped to give Saasu a leg up into the increasingly competitive cloud-accounting market, which saw the shuttering of the Australian-owned Reach Accounting earlier this year.

QuickBooks is well-placed to topple Xero

At more than half the price of Xero’s ‘standard’ plan (the starter plan at $25 per month is the most limited ‘starter’ plan I’ve seen), QuickBooks’s starter plan is already appealing to the money conscious small business owner; the PayPal deal only strengthens that.

Ever since PayPal spun off from eBay earlier this year, it’s been announcing new services that specifically target small business owners primarily doing business online – first by introducing inexpensive invoicing, card readers, and now by integrating with QuickBooks. As PayPal is the only online payment service operating in Australia, the two companies are now exceptionally placed to take the Australian small business market.

Perhaps losing the small business market isn’t a primary concern for Xero, which seems to be aligning itself to take the MYOB medium-sized business market, anyway. Regardless, QuickBooks is definitely a force to be reckoned with (forgive the pun) in the Australian cloud accounting space.

Reach Accounting Service Shut DownA member of our team was recently asked to recommend a few low-cost, cloud-based invoicing programs to a friend. He’d recently started his own business and for the last few months had been using Excel to create and send invoices to his clients.

He was just after something that would allow him to create invoices, estimates and input his expenses. We’ve mentioned three low-cost options in this blog: Quickbooks, Zoho, and Reach Accounting, the latter of which I championed due to it being Australian-owned. EzyLearn developed a course for Reach Accounting and we were the official training provider but sadly they recently shut down their services.

Reach Accounting was officially shut down at the end of April of this year as it’s parent company Net Registry pushes further into the online marketing space to position itself as a one-stop small business start-up shop.

With Net Registry, you can register a domain name, build a website, and market your business; cloud-accounting seemed, like a logical extension of their offering, and they marketed it heavily to small business owners – sole traders, in particular.

Then, in March, Reach Accounting notified users by email that, effective April 30 of this year (2015), Reach Accounting was closing. And without any fanfare, it did just that and quietly disappeared. There’s no longer any trace of it at the Reach Accounting domain name, and no reason given for its departure from the online accounting space that it so actively pursued not so long ago, but there is still a hint of life on the NetRegistry website – at the time of writing they were still showing the service at their main website: http://www.netregistry.com.au/resources/reach-accounting/

Reach Accounting’s life was a short one. Net Registry acquired a 50 percent stake in the Aussie start-up in 2011, and immediately began offering the software to its existing customers for free. Anyone else looking for a cheap accounting package would pay $14.95 a month.

Can you be too cheap to survive or is there more to it?

In 2011 $14.95 per month was cheap for accounting software – it’s nearest serious competitor at the time was Xero at around $50 a month, and Zoho, which was, and still, is an American-based company with no local operations. Then came the Aussie offerings, Saasu and Reckon, as well as the re-entry of the US-based Quickbooks. The marketplace was suddenly very crowded.

In 2014 Melbourne IT acquired Net Registry for a cool $50M. The acquisition came off the back of some upheaval at Melbourne IT, whose long-time CEO had left the previous December while it struggled to compete in the cloud-computing space; in March the previous year, Melbourne IT had sold off it’s highly lucrative digital marketing unit to a US-based company for $152m, which was nearly equal to the company’s entire market capitalisation at the time.

Perhaps, then, when faced with stiff competition from other local and overseas cloud-accounting services, under the direction of Melbourne IT, the newly realigned Net Registry saw no commercial value in continue its accounting service. If we hear any news for Reach Accounting users we’ll pass it on.

Is MYOB the future of cloud accounting?

Intuit Quickbooks is the elephant-in-the-room for MYOB and Xero Cloud AccountingI’ve written before about how MYOB could get SMASHED by it’s VERY large US Competitor, but MYOB could still be the future of cloud accounting. New players could spell the end of the long-established MYOB or possibly even Xero, but maybe the biggest thing MYOB has up its sleeve is its long, rich history. As far as market share goes, MYOB still occupies the majority of it and, while it may appear slow at adopting new features, you can at least count on it being around in the near future.

That’s why our MYOB training courses have always been, and remain to be, the most popular out of our entire suite of training courses because, despite the grumblings of many small business owners, MYOB is still a major player in the accounting software space. As for our friend, he ended up choosing Zoho for his invoicing needs. He was sold on its ease-of-use, powerful smartphone and tablet app, and its easy-to-decipher pricing plan.

MYOB Accounting – Fighting to Stay In Control?

Is MYOB Just Another Program In Your Control Panel?

MYOB Accounting software online training coursesI was cleaning up my computer this morning and went to my Microsoft Windows Control Panel to discover MYOB Accounting Software sitting in the program list. I was removing any programs that I may have installed to test or get to know with a goal of REMOVING all that I didn’t need, when I saw MYOB software in the list.

I didn’t see WordPress and I didn’t see Commonwealth Bank Internet Banking in the list and at that moment I felt a little sad, realising that if I changed computers that I would need to go through the program installation process with my accounting software AND that EVERY person who needed to access our bookkeeping software would have to go through the same process.

Cloud Software Doesn’t Need to be Installed On Your Computer

I’m used to going to websites, logging in to do my work and then logging out at the end. Yes, with some I have to change the password regularly and others there is 2 level authentication using a mobile phone number as well, but the great thing about these “cloud-based” services is that I don’t even need my own computer! I can log in using an iPad, laptop or even my smart phone.

Cloud accounting should be like Xero and Quickbooks onlineWith services like Google Apps, we can run our entire company “server” in the cloud and have experts make sure it is up and running all the time for the cost of less than $100 per month, compared to several thousand dollars to buy the hardware (and have the floor space, data, power and air conditioning) , thousands of dollars in software licences and then having to hire an expert IT service person to manage it all for thousands of dollars per year – particularly if something goes wrong.

I’ve always wondered why MYOB didn’t focus all of their efforts on building a fully featured accounting program for the cloud only and wrote about how it seems like MYOB is computer based accounting program with the functionality of Dropbox. Some people think it’s more secure or safe to keep your accounting information local, but I’m not convinced.

How does MYOB compare to Xero and Quickbooks Online

I recently wrote about Ken from Love My Home Theatre and why he loves Xero Accounting Software (not Zero) and also about how the new market for cloud accounting software is not only introducing new competitors like Xero, but also enabling MASSIVE competitors like QUICKBOOKS back into the Australian market for accounting software once again.

If you are a regular reader you’d also know that we’ve had Xero Training Courses for quite a while now and that our focus is to help people looking for bookkeeping work AND small business owners learn bookkeeping software to help them run their business more efficiently and be compliant with the ATO.

The most impressive features of Xero Accounting Software are:

  • Xero can be accessed from anywhere at any time
  • Xero can accommodate multiple users (accountant, bookkeeper, business owner) no matter where they are located (which is great for virtual assistants doing bookkeeping from their own home)
  • Xero integrates with other cloud software programs (watch the video interview about Xero accounting with a small business that love it)

The best thing about cloud based software services (apart from having experts making sure it is always up and running) is that when new features are built they are available to you immediately. Xero recently announced the capability to create quotes and manage inventory which brings it even closer “feature wise” with MYOB and although I haven’t had a chance to see it in action, Margaret Carey (who contributed to our XERO vs MYOB feature comparison) notes that:

[quote]Any business that requires more than basic tracking will need to continue to look at the add on solutions such as Unleashed or Dear but it is a promising start.[/quote]

Xero is Definitely Becoming More Popular

Whether Xero has just done some great marketing this year, or that people genuinely want the benefits of a cloud-based accounting program, we are experiencing increased enrolments into our Xero Training Courses.

It could also be because all of our Xero courses are included for the one low price – we don’t sell them separately AND we include new content during a students membership period.

We use all of the major cloud-based accounting programs and I can say personally that I like what I have seen with Xero and Quickbooks Online. The fact that you don’t have to go through that labourious process of downloading, installing and registering your software (for each user) is a great bonus, but the fact that you can use these programs from any computer is even better.

Xero: The Tradies Choice for Accounting Software

Rohan the painter tradie uses xeroI once wrote a post about Xero and whether it had the potential to strip MYOB of its crown as the market leader in accounting software, and I’m starting to think that maybe it will.

I spoke with a couple of tradies recently, and they’re both using Xero rather than MYOB because of its functionality and the way it ties in nicely with other cloud-based apps, allowing them to spend less time in the office and more time on the road.

EzyLearn added Xero training courses to our already existing suite of MYOB training courses a little while back after it became clear that it was a major player in the cloud-accounting space. When Xero first hit the market, though, many people thought it was unlikely to have any major impact on MYOB’s marketshare (just as QuickBooks had failed to in the past), given MYOB’s long-standing relationship with accountants.

Xero perfect for tradies on the go

What most people overlooked, though, was that Xero was undeniably easy to use. Coupled with its flexible delivery – it was one of the first cloud-based accounting programs supported with mobile apps – it became an appealing option for many small business owners who previously found MYOB too difficult or time-consuming for day-to-day use.

Rohan Calvert, the director of Men in White, a Sydney-based painting company, is one those small business owners. He had been using MYOB to manage his business’s accounts for ten years, but decided it was time he moved his accounts into the cloud. After initially looking to upgrade to MYOB Account Right Live, Rohan opted to make the switch to Xero, instead.

Here’s what he had to say about Xero in the cloud:

EzyLearn: What features of Xero do you find most useful for your business?

Rohan: For me, the best thing about Xero is that there is a direct bank feed, so my [Xero] dashboard will show my bank balance alongside the balance in Xero, which makes reconciling [his accounts] very easy. I don’t use the mobile app very much – the functionality isn’t there for me yet. Instead I use the web version on my laptop. My office is basicallymy laptop – I have a laptop stand in the passenger seat of my car. With Xero, I can do payroll and issue invoices while I’m sitting in the parked car.

EzyLearn: How is Xero’s cloud-based software better for your business, compared to the older versions of MYOB you had used previously?

Rohan: I have a business coach in the US and we can look at my financials in real-time while we’re talking on Facetime. I have put a lot of work into simplifying and understanding my bookkeeping and with Xero my reports are accurate and tell me exactly how I’m going, and all in real-time. Previously, when I used MYOB, the financial reports were meaningless and my bookkeeper had to print them out and edit a spreadsheet, resulting in a lot of double handling.

EzyLearn: What do you like most about Xero?

Firstly, it is elegant and intuitive; secondly, it comes from New Zealand!

Your Business Accounting Software: Is it Working Best for You?

In a previous post we wrote about business bank accounts. Some banks, even though they offer business accounts, aren’t actually all that business friendly, and this can sometimes add hours to your bookkeeping and reconciliation processes.

Not all Business Accounts are Created Equal

If you’re starting a new business and going to open a business account, we recommend you do your research and shop around, because not all accounts are the same.

Some business accounts integrate nicely with your accounting software, while others, like a Bank of Queensland account, for example, does not because they transferred their credit card service to Citibank, preventing integration with the Banklink feature of MYOB.

Other business accounts don’t allow businesses to have a Visa or MasterCard debit card attached to their business account and only allow businesses to make online purchases using their own money.

Business owners can only use a linked credit card to make online purchases or a separate debit card. Either option still results in additional journal entries in your accounting software.

End of Financial Year – Best Time to Get Business Friendly

If you’ve been battling with your current bank, now that we’re approaching the end of the 2013/14 financial year, it might be the time to consider moving your accounts elsewhere so you can start afresh come July 1.

Or perhaps it’s not your bank that’s playing havoc with your bookkeeping – perhaps it’s your bookkeeping software. As we approach a new financial year, it might be a good time to consider switching your account keeping software to MYOB, or something simpler, like Xero (we have written in the past comparing the two).

Reach Accounting vs MYOB: What’s the Right Accounting Software for You?

We’re thrilled to announce the addition of our new online training course for cloud-based accounting software — Reach Accounting. It’s a great, low-cost option for small business owners. But there are some businesses that will still be suited to MYOB, so let’s take a closer look at how Reach compares to MYOB to help you select the best accounting software for your business.

Bank Feeds and Payment Gateways

The first thing you’ll probably use in Reach is the invoicing software, which is not entirely different to MYOB — or Zoho or Xero, either. (On that note, we’ve also introduced a new Xero course to our suite of online courses.) In Reach you can enter all of your company details, set up customers, enter your bank account details, create an invoice (or use the pre-defined template), and so on.

Where Reach differs from MYOB, however, is that it doesn’t offer a bank feeds service, which means that you still need to manually record each payment your customer makes. This can be a time-consuming process, particularly if you don’t stay on top of it — which can be embarrassing if you set up the automatic late-payment reminder service, and then forget to record your customers’ payments.

The other points of difference between Reach and MYOB is that Reach does not allow you to set-up payment gateways to connect your PayPal account, nor can you connect your Reach account directly to an online web store; functions that are handy for online businesses.

While those functions aren’t currently available, Reach does have plans to make them available in the future. But if you’re not going to miss those functions, or aren’t likely to use them, anyway, then the Reach Accounting software will work for your business.

What Reach Will Enable You to Do

Reach allows you to create invoices and estimates, manage your payroll, expenses and complete your BAS return, among many of the other traditional accounting functions you find in MYOB.

Online Accounting: Has Xero Turned the Tables on MYOB in Australia?

If you read my blog posts or follow the news about accounting software and cloud-based accounting software, you’ll be aware that MYOB is now owned by a large private equity organisation called Bain Capital (which was co-founded by Mitt Romney). I believe it overpaid for MYOB and as a result has to fight hard to justify its price and keep as many customers as possible. However, regardless of that, it’s interesting to see that MYOB is now the US competitor to the New Zealand and Australian owned Xero.

How is MYOB American?

What do I mean? Well, MYOB was once an Australian-owned company that you could buy shares in — it was listed on the Australian Stock Exchange. It was subsequently purchased by Archer Capital and later sold to Bain. During this time, the man who started MYOB, Craig Winkler, sold his shares in MYOB and became a major investor in Xero. Read this article from the Sydney Morning Herald to better understand the “lay of the land” about cloud-based accounting software.

Up until last week you could only buy shares in Xero through the New Zealand stock exchange. Last week, things changed and you can now participate in the fresh new competition in the online accounting market by buying shares in Xero! The graphic shows the rise of the share price since listing.

If you are looking for work as an MYOB bookkeeper you will come across cloud accounting sooner or later because all the accounting software vendors are developing cloud based products. Will MYOB in the cloud take Bookkeepers jobs offshore?

accountants and MYOB bookkeeper jobs going offshoreI’ve written a lot about MYOB in the cloud recently as training companies like us, accountants and MYOB software users grapple with their changing software and upgrading issues and a recent article I read brought up an interesting topic. Whether Cloud based accounting software will takes jobs offshore?

MYOB in the Cloud and IT support

The article I read was more about IT jobs and IT departments and whether cloud computing was making It Departments redundant. When you think about the various jobs within the accounts department the same question can be asked. I wrote a blog post about the looming threat to Australian jobs by overseas workers earlier in 2012 and scarily, it was reinforced by an article in yesterdays Sydney Morning Herald about 1 million jobs going offshore in the next 30 years.

If you check out the article you’ll notice that not only bookkeeping jobs, but accounting in general is one of the largest sectors under threat from offshoring! The picture above shows some other sectors under threat.

MYOB in the cloud vs data files on your PC

MYOB in the Cloud will enable the bookkeeper, data entry operator and accountant to access accounting records at the same time and from different locations and this is one of the best selling features of MYOB in the cloud compared to a data file on your computer. The issue for Australian workers is that anyone in the world can now perform this work if they have the skills to use the software and knowledge of basic Australian accounting.

Hundreds of businesses already use MYOB hosted in the cloud!

In our research about cloud based accounting software we discovered that MYOB have an approved hosting reseller program. This is a program where MYOB partners with companies who specialise in providing hosting services so that MYOB users can access their data file from anywhere.

We recently spoke to one of those hosting businesses and took their service for a test drive and it was amazingly quick and did everything we needed it to do. We were able to login, access the MYOB data file, create an invoice and email it via the cloud based hosting account!

Can MYOB repay it’s debts with its head in the clouds?

cloud-accounting xero vs saasu vs myob online training courseWe wrote back in early 2010 about what appeared to be a revolutionary move at the time about MYOB founder Craig Winkler jumping ship and moving to Xero. In the recent bad press about the bug-ridden upgrade of MYOB AccountRight 2011 there is an interesting mention about Cloud Based accounting and MYOB’s goals to get into that space.

In the past 12 months we have worked with as well as provided training for many virtual assistants (remote contractors) and we’ve come into contact with other cloud-based accounting/bookkeeping services you might like to know about. Our pick of the bunch would have to be SAASU at this stage because they have a product that is perfect for remote contractors or micro businesses.

It appears that Xero and SAASU own the online accounting market space but it will be interesting to see how MYOB go as they diversify into cloud accounting as well as their many other products like website hosting, which we’ve never really understood when there are market leaders like MelbourneIT and NetRegistry as well as thousands of small providers.

While we’re on the topic of cloud, here’s a little plug for virion business grade voip. Our trainers have compiled an Excel spreadsheet to demonstrate the cost savings of VoIP over traditional telephony and this year we will have some training for IT Consultants about the Siemens Gigaset office phones.

Is Xero stealing MYOB’s future in the cloud?

xero online cloud accounting software versus MYOBXero is a New Zealand based public company (XRO.NZ) that create accounting software that you can access from anywhere, much like hotmail, gmail or your Internet banking. I mention Internet banking here because many Internet users use Internet banking and trust it’s security completely. We think Internet banking is completely safe and secure, no matter how we feel about email security. Both are very secure so the move to online accounting software will take a little longer as users understand their accounting data may be safer online than it is stored on their own computer or server.
